Job summary

Big Cedar Lodge is seeking a Conference Services Manager to coordinate all aspects of contracted group events and act as the primary liaison between clients and resort departments, ensuring flawless execution and guest experiences consistent with rustic luxury.

You will work cross-functionally with Sales, Banquets, Culinary, and other teams to meet revenue targets, manage BEOs, pre-conference meetings, and maintain precise documentation while upholding resort standards.

Qualifications

  • High School Diploma or equivalent required.
  • 2+ years in sales, operations, or related role preferred.
  • Experience coordinating group events highly desirable.
  • Strong communication and organizational abilities needed.

Responsibilities

Job description

POSITION SUMMARY

The Conference Services Manager is responsible for coordinating all aspects of contracted group events at Big Cedar Lodge. This role serves as the key liaison between clients and resort departments, ensuring flawless execution, outstanding guest experiences and alignment with the resort’s standards of rustic luxury.

ESSENTIAL FUNCTIONS
  • Actively sell and promote resort offerings – including venues, dining, golf, spa, marina, food and Beverage and activities- ensuring each group experience reflects the full range the resorts world-class amenities.
  • Meet and exceed individual and departmental sales goals, including revenue targets, upsell objectives and cross-sell initiatives.
  • Coordinate, plan, and execute all assigned group programs, including Banquet Event Orders (BEOs), resumes, and pre-conference meetings.
  • Serve as the primary point of contact for planners and clients, ensuring all event details are accurate, timely, and exceed expectations.
  • Partner with Sales, Banquets, Culinary, Group Rooms, Spa, Golf, Activities, and other departments to deliver seamless event experiences.
  • Uphold resort standards, policies, and procedures to ensure consistency and protect revenue performance.
  • Clearly communicate group requirements, pricing, and arrangements within approved guidelines to maximize both guest satisfaction and resort yield.
  • Maintain accurate documentation, including confirmations, updates, and operational communications.
  • Demonstrate excellent communication skills, with the ability to convey details clearly, professionally, and collaboratively to both clients and internal teams.
  • Exhibit exceptional attention to detail in planning, documentation, and event execution to ensure accuracy and consistency.
  • Stay proficient in current CRM software and communication tools (e.g., Excel, Outlook, Microsoft Office Suite) to support efficiency and accuracy.
  • Remain current on resort offerings, industry trends, and departmental updates to provide knowledgeable, relevant service to clients.
  • Participate in all relevant meetings, including BEO reviews, pre-conference, and staff huddles.
  • Perform other tasks as needed or assigned to support team and resort success.
EXPERIENCE/QUALIFICATIONS
  • Minimum Degree Required: High School Diploma or Equivalent
  • 2 years or more related experience in sales work, management operations, or related professional area preferred
KNOWLEDGE, SKILLS, AND ABILITY
  • Excellent communication skills – both verbal and written
  • Strong organizational skills with proven attention to detail
  • Ability to effectively sell and position the resort’s experiences and amenities to drive revenue and guest satisfaction
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong collaboration skills and ability to work cross-departmentally
  • Proficiency with event management software
  • Commitment to delivering exceptional guest service
