Job summary

Nicklaushealth in Miami is seeking a program coordinator to support the Concussion and Headache Program under the Neuroscience Institute. You will coordinate patient and physician flow, perform ImPACT testing, and handle scheduling, authorizations, and communications with clinics and community partners.

The role requires coordinating with multiple disciplines, arranging tests and follow-ups, and supporting Lean initiatives to improve patient experience.

Qualifications

• Associate's Degree in Liberal Arts, Sports, Business, or Healthcare.
• 2-4 years of program support experience in a healthcare environment or athletic training setting.
• Bilingual in English and Spanish required.

Responsibilities

• Coordinates and participates in the Program's components including multidisciplinary clinics, school screenings, community events, and related activities.
• Commutes to organized community events and community touch points opportunities.
• Coordinates adult transition, sends requests and last clinic notes.
• Coordinates quarterly clinic flow meetings with all providers for each program.
• Obtains prior authorization from insurance for high-cost specialty drugs.
• Coordinates shipment of high-cost drugs from specialty pharmacies.
• Schedules EMG, NCV and Botox in MPS/Radiology.
• Schedules pre clinic huddles.
• Coordinates clinics schedule, confirms appointments and necessary testing (MRI, EEG, VEEG, etc.).
• Enters patient demographics and insurance information in scheduling system.
• Obtains tests/visit authorizations and collects information for appointment/admission.
• Follows up on MD approval for appropriate clinic visit and stores data into EHS.
• Pre-clinic communications with families; follow up on prescriptions/referrals.
• Obtains authorizations of tests (EEG, EP, NCV, EMG, polysomnograms).
• Assists department, other clinics, and staff; supports Lean initiatives to improve processes.
• Archives data for long-term care; contributes to lean improvements in Brain Institute.
