Vitality is seeking a friendly, detail-oriented receptionist to deliver a warm front-desk experience for residents and visitors. You will greet guests, answer calls, and handle transactions with accuracy and courtesy.

In this role you will maintain records, support marketing activities when needed, and collaborate with the Executive Director and Business Office Director. A calm, professional demeanor is essential.

Qualifications

  • Must be at least 18 years old.
  • Highschool diploma or GED.
  • Ability to speak effectively before groups.
  • Demonstrate ability to communicate effectively in English, both verbally and in writing.
  • Have basic technical skills and can follow written/verbal instructions.
  • Must possess excellent organizational skills and multi-tasking abilities.

Responsibilities

  • Maintain the reception desk during assigned periods and greet visitors.
  • Respond to residents' and visitors' questions and relay messages to leadership.
  • Answer and direct phone calls; process payments for community purchases.
  • Organize mail; assist in marketing duties when needed and during absences.
  • Monitor call systems and exit alarms; report issues promptly.
  • Assist with routine maintenance tasks and move-in packet preparation.
  • Attend onboarding and training sessions; comply with policies.

Keeping focus on our core values, we strive each day to ensure that our residents remain connected and purposeful.GENERAL PURPOSE:To be part of an energetic team, devoted to delivering a unique and enjoyable customer service experience for our residents and visitors.RESPONSIBILITIES:Maintain basic knowledge of computer software and internet platforms with typing skills.Manage reception desk continuously during assigned period and perform administrative duties.Arrange coverage of reception desk during break and lunch periods.Graciously greet all visitors and politely assist them as necessary.Respond to residents’ and family members’ questions and concerns and share important information with the Executive Director or Business Office Director as is appropriate.Respond and appropriately handle emergency situations that may arise in a calm, professional manner.Maintain Resident and Guest Register.Promptly answer the telephone, directing calls to appropriate persons or relaying messages.Process payments for Community purchases.Organize incoming mail and ensure that it is distributed to the appropriate person.Assist in telephone inquiries in the absence of an immediately available Marketing person in obtaining information from inquiry including at minimum call back information.Monitor resident call system and ensure staff response (if call system is adjacent to the reception desk).Monitor exit alarm system and ensure staff response.Perform simple, routine maintenance of office equipment.Compile resident move-in packets.Perform marketing duties, including but not limited to:executing tours for prospective residentsrecording and reporting deposits received from prospective residentsentering current and prospective resident information into community contact systemCode and submit accounts payable invoices, submit staff mileage and expenses, and complete daily deposit in absence of the Business Office Director.Respect dignity and confidentiality standards and promote resident rights.Complete or assist with special projects as requested by community or senior management.Attend and participate in onboarding and annual training, in-services and team member meetings as requested.Adhere to all policies and procedures of the company.Perform other duties as assigned by Business Office Director.SKILLS and QUALIFICATIONS:Must be at least 18 years old.Highschool diploma or GED.Ability to speak effectively before groups of customers or team members of the organization.Demonstrate ability to communicate effectively in English, both verbally and in writing.Have a basic level of a skill and can follow written or verbal instructions.Have basic technical skills to complete a few repetitive and well-defined duties.Have a basic knowledge of the organization in order to answer basic questions.Must have patience, tact, cheerful disposition and enthusiasm, as well as willing to handle residents based on whatever maturity level in which they are currently functioning.Meet state or provincial health related requirements.Desire to work and interact with older adults and their families.Must possess excellent organizational skills and multi-tasking abilities.Working knowledge of basic accounting terminology and processes.Projects a positive and professional image at all times.Maintain any other certification as required by state or provincial regulations.PHYSICAL REQUIREMENTS:Physical Demands include: Sitting, Standing, Walking, Bending, Reaching, Pushing, Pulling, Climbing Stairs, Grasping, Manual Dexterity, Stooping, Crawling, Kneeling, Crouching, Vision Acuity, Talking, and Hearing.The weight determined to be appropriate for a Concierge to lift with or without reasonable accommodations is up to 25 lbs.EXPOSURE RISK CLASSIFICATION:May perform unplanned tasks involving exposure to blood, bodily fluids, or tissue which may contain AIDS, HIV, and Hepatitis A, B, and C viruses.
