  • Maintain shared visibility into candidate and active driver compliance status so work can be transitioned or covered without interruption.
  • Use consistent file standards, trackers, and processes to prevent gaps, duplicate effort, and inconsistent results.
Driver Qualification File Ownership
  • Own and maintain complete electronic and physical driver qualification files for driver candidates and active drivers, as applicable.
  • Collect, review, validate, and file required pre-employment and ongoing qualification documentation before a driver is released to training or service.
  • Monitor file completeness and promptly resolve missing, expired, inconsistent, or noncompliant documentation.
  • Maintain accurate shared checklists and status tracking by candidate, employee, contract, and requirement.
Automated Hiring and Candidate Compliance
  • Monitor automated candidate compliance workflows, including motor vehicle record checks, criminal background checks, drug screens, consent forms, license and credential verification, and contract-specific screenings.
  • Validate information collected or generated through automated systems against source documents and applicable company, customer, and regulatory requirements.
  • Review system alerts, incomplete records, failed workflow steps, inconsistent results, and candidates who do not progress as expected; complete routine corrections or coordinate manual processing and escalation when needed.
  • Confirm that required compliance steps, approvals, and supporting documentation are complete and accurately reflected in the designated system before a candidate advances to training, driving evaluation, or active assignment.
  • Communicate candidate status and outstanding requirements to authorized stakeholders while protecting confidential information.
Ongoing Driver Compliance
  • Monitor driver licenses, medical certifications, motor vehicle records, background check renewals, drug testing requirements, training credentials, and contract-specific certifications.
  • Maintain proactive renewal calendars and provide timely notifications before credentials expire.
  • Identify drivers who are not qualified or are at risk of becoming noncompliant, communicate restrictions promptly, and track corrective action through resolution.
  • Complete periodic file audits to confirm accuracy, consistency, and readiness for customer or regulatory review.
Drug and Alcohol Program Administration
  • Coordinate pre-employment, random, post-accident, reasonable suspicion, return-to-duty, follow-up, and contract-required testing as assigned.
  • Maintain testing records, selection documentation, completion tracking, and confidential results in accordance with applicable requirements.
  • Escalate missed tests, refusals, positive results, or other exceptions to the Safety & Training Manager and appropriate Human Resources partners.
Reporting, Collaboration, and Process Improvement
  • Prepare regular reports covering candidate readiness, active driver compliance, upcoming expirations, testing completion, file audit results, and open exceptions.
  • Provide timely updates to the Safety & Training Manager and contract leaders regarding compliance risks and required actions.
  • Partner with Safety & Training, Talent Acquisition, Human Resources, Operations, and contract leadership to maintain a qualified and service-ready workforce.
  • Identify recurring workflow issues, data gaps, and opportunities to improve automated hiring and compliance processes.
  • Report system concerns promptly and participate in process testing, training, and workflow updates as needed.
  • Protect confidential and sensitive information and limit access to authorized individuals.
Qualifications Required
  • High school diploma or equivalent.
  • Two or more years of experience in compliance, safety administration, human resources, recruiting operations, credentialing, records administration, or a related field.
  • Experience maintaining confidential employee, candidate, or regulated records with a high degree of accuracy.
  • Strong organization, attention to detail, communication, teamwork, and follow-through.
  • Comfort using applicant tracking, HRIS, compliance, and document management systems, with the ability to monitor automated workflows, investigate exceptions, maintain accurate system records, and learn new technology.
  • Ability to manage multiple deadlines and expirations, exercise sound judgment, maintain confidentiality, and elevate concerns promptly.
Preferred
  • Additional education, coursework, or certification in compliance, safety, human resources, transportation, or a related field.
  • Experience in passenger transportation, paratransit, school transportation, or another regulated industry.
  • Knowledge of driver qualification files, motor vehicle record review, background screening, drug and alcohol testing, and credential expiration tracking.
  • Experience supporting customer, regulatory, or internal compliance audits.
Success Measures
