Job summary

Concentric Counseling & Consulting in Chicago, IL seeks an Intake Coordinator to be the first contact for prospective clients. The role blends compassion, clear communication, and follow-through to connect clients with suitable therapists and insurance options.

Responsibilities include handling inquiries, scheduling, intake paperwork, and HIPAA-compliant credentialing support. The position is hybrid, about 20 hours weekly, with potential for additional hours based on demand and performance.

Qualifications

• Three years of customer service, administrative, intake, scheduling, or healthcare admin experience.
• Strong written and verbal communication with confidence on calls.
• High emotional intelligence with warm, compassionate approach.
• Excellent organization, detail orientation, and ability to manage multiple conversations.
• Familiarity with email, calendars, referrals, and electronic health records; TheraNest is a plus.
• Trustworthiness and discretion with confidential information; passion for therapy.

Responsibilities

• Monitor referral log, shared email, and TheraNest daily; respond within four business hours during coverage.
• Communicate with prospective clients by phone and email with warmth and sound judgment.
• Gather client needs, verify insurance, and present therapist options and next steps.
• Learn therapists’ specialties, availability, and scheduling requirements for accurate matches.
• Schedule initial appointments, add clients to TheraNest, send intake paperwork, and follow up on items.
• Track inquiries, contact attempts, status, conversions, and report regularly.
• Prepare concise clinical summaries for assigned therapists when clients become established.
• Provide credentialing support and protect confidential information per HIPAA.
