Job summary

The ideal candidate has at least three years in scheduling or related healthcare administration, strong communication and organizational skills, and proficiency in Microsoft Office and scheduling software.

Qualifications

• Minimum three (3) years of experience in scheduling, staffing coordination, customer service, healthcare, home care, or related administrative role.
• Associate degree or some college coursework preferred; equivalent relevant work experience will be considered.
• Home care scheduling experience is strongly preferred.
• Excellent written, verbal, and interpersonal communication skills.
• Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
• Proficiency with Microsoft Office and scheduling software; ability to learn quickly.
• Reliable, punctual, and detail-oriented.
• Bilingual English/Spanish preferred.

Responsibilities

• Coordinate daily caregiver schedules to ensure uninterrupted client care.
• Match caregivers with clients based on care needs, availability, skills, and compatibility.
• Respond promptly to caregiver call-offs, schedule changes, and urgent staffing needs.
• Communicate professionally with clients, families, caregivers, referral sources, and office staff.
• Maintain accurate scheduling records, documentation, and employee files.
• Verify caregiver availability, credentials, and compliance before assigning shifts.
• Assist with onboarding coordination and administrative office support.
• Monitor open shifts and proactively secure coverage.
• Maintain confidentiality and comply with HIPAA, company policies, and applicable federal and California employment laws.
• Perform other administrative duties as assigned.
