Job summary

Genesee & Wyoming Inc. in Jacksonville is seeking a detail-oriented Publishing Coordinator to support the Commercial Services Team with publication preparation, renewals, and rate documentation. You will coordinate with internal groups to accelerate information flow and ensure rate integrity.

You will publish tariffs, contracts, and related documents using RailConnect Contract Management and OnBase, while seeking automation to improve efficiency and accuracy in pricing workflows.

Qualifications

Responsibilities

• Provide publishing support for all G&W properties.
• Publish tariff, public, private rate, and contract documents using RCM and OnBase while ensuring REN standards.
• File and maintain publications in OnBase.
• Identify automation opportunities to streamline publishing and pricing workflows.
• Collaborate with sales, marketing and legal teams to align contract creation and reduce risk.
• Track and maintain domestic and foreign line fuel surcharge programs.
• Update G&W websites with tariffs and monthly fuel surcharge programs.
• Maintain CIF and SCRS records for G&W customers.
• Monitor rebates, refunds, volume commitments, and thresholds monthly.
• Assist managers with renewals publishing and research updates on obsolescence.
• Assist with other projects as assigned.

SUMMARY

The position provides direct publication preparation and assistance to the Commercial Services Team. This person is proactive in publication of renewals, both for internal and external documents, and in distribution of new documents to necessary parties. This position also requires relationship building with internal groups for maximum impact in reducing the timeline in the flow and processing of information and is the primary person for rate publication creation and distribution for the Commercial Services Team . This position is a critical component to the overall success of the Commercial team for rate integrity and administration.

Responsibilities

• Provide publishing support for all G&W properties
• Publish all tariff, public, private rate, and contract agreements using Microsoft Office programs and RailConnect Contract Management (RCM) while ensuring compliance with industry standards/requirements of Rate EDI Network (REN)
• File and maintain all publications into OnBase program
• Champion innovation by identifying and implementing automation opportunities for publishing and pricing workflows and documentation
• Proactively collaborate with the sales and marketing & internal legal teams to maintain alignment throughout the contract creation process, mitigating legal risks, ensuring that business objectives are met, automation efficiencies are utilized, while adhering to standardized company policies and procedures
• Track, calculate, and maintain domestic and foreign line fuel surcharge programs
• Maintain updates to all G&W websites for public tariffs and monthly fuel surcharge programs
• Maintain CIF (Customer Identification Files) and SCRS (Serving Carrier Reciprocal Switch) records for G&W customers
• Monthly monitoring of rebates, refunds, volume commitments, and threshold arrangements
• Assist Commercial Services managers in proactive publishing of renewals
• Research various agreements for obsolescence or updating with consistent verbiage and parameters of pricing documents
• Assist with other projects and perform other duties as assigned

Required Skills And/Or Experience

• Must possess strong organizational skills, and have the ability to manage multiple tasks under restricted time elements
• Experience with drafting contracts/agreements
• Strong analytical and problem-solving skills

• Must be proficient in Microsoft Office including Excel, Word, and PowerPoint
• Experience with pricing, tariffs, commercial regulations, and marketing

Required Education And/Or Credentials

• Bachelor’s degree; bachelor’s degree in business or marketing preferred
