Position Overview

We are seeking an exceptional operations manager to support our Chief Commercial Officer, who oversees Legal, Origination, Supply, & Marketing functions for Guzman Energy. Key Responsibilities
  • Strategic Calendar Management & Executive Optimization (30%)
    • Master complex calendar management to maximize the CCO's impact across Legal, Origination, Supply, & Marketing functions
    • Strategically allocate executive time based on business prioritites, deal timelines, & organizational needs
    • Analyze time allocation patterns and recommend adjustments to optimize cross‑functional engagement
    • Coordinate seamlessly with department heads to ensure appropriate executive involvement at critical decision points
    • Proactively identify and resolve scheduling conflicts while maintaining balance across all commercial functions
    • Prepare comprehensive daily/weekly briefings to ensure smooth transitions between diverse responsibilities
    • Collaborate closely with administrative team to coordinate leadership team schedules and avoid conflicts
  • Project Management & Cross‑Functional Coordination (25%)
    • Lead and manage multiple concurrent projects across commercial divisions
    • Coordinate cross‑functional initiatives involving Legal, Origination, Supply, & Marketing teams
    • Create and maintain project dashboards for executive visibility
    • Drive special projects including new market entry initiatives, organizational development, & process improvements
    • Facilitate project meetings, document decisions, & track action items to completion
    • Serve as project liaison between the CCO and internal/external stakeholders
  • Relationship Management & Contact Tracking (20%)
    • Maintain sophisticated contact management system tracking all key relationships requiring regular executive touchpoints paha
    • Create and manage outreach calendars ensuring consistent engagement with critical stakeholders
    • Track communication frequency with customers, partners, regulators, & industry contacts
    • Generate weekly contact reports highlighting relationships requiring attention
    • Proactively schedule follow‑ups based on business development cycles and relationship maintenance needs
    • Coordinate with commercial teams to identify and prioritize high‑value relationship opportunities
    • Maintain detailed interaction logs and relationship history for strategic accounts

Required Qualifications
  • Bachelor's degree or equivalent professional experience
  • 5+ years of executive assistant experience, preferably supporting C‑suite executives
  • Demonstrated project management experience with ability to drive initiatives to completion
  • Proven experience implementing and managing CRM systems (Salesforce, HubSpot, or similar)
  • Experience managing executive social media profiles, particularly LinkedIn
  • Advanced proficiency in Microsoft Office Suite, project management tools, & calendar optimization platforms
  • Exceptional written and verbal communication skills with ability to draft professional social media content
  • Strong analytical skills with ability to assess priorities and optimize resource allocation
  • Demonstrated ability to handle highly confidential information with discretion
  • Track record of improving executive effectiveness through strategic calendar management
  • History of successful collaboration in multi‑EA environments
Preferred Qualifications
  • Experience in the energy, utilities, or regulated industries
