Job summary

Valley Vista Medical Group in Prosser, WA is seeking a Clinical Support Specialist to support the PCHH team with registry work, scheduling, documentation, and audits. You will review data, ensure compliance, and help with release of information while coordinating with HIM and hospital staff.

This full-time role requires a high school diploma or GED, office experience (medical/dental preferred), and bilingual English/Spanish for enhanced pay.

Qualifications

  • High school diploma or GED (required).
  • Associates degree or certificate preferred.
  • One year of office experience, preferably medical/dental.
  • Two years of medical/dental office experience preferred.
  • Bilingual English/Spanish required for bilingual differential pay.
  • Ability to manage multiple tasks with interruptions.
  • Proficiency with EMR, Word and Excel; basic medical terminology knowledge.

Responsibilities

  • Maintains and updates reports and registries for the PCHH team, including outreach, scheduling and documentation.
  • Completes audits for invasive procedures and in-house labs; tracks audits and provides documentation as requested.
  • Identifies and communicates process-improvement ideas to appropriate staff.
  • Manages Release of Information (ROI) forms with patients and staff; coordinates with HIM for processing
  • Sorts and distributes mail and faxes to the appropriate department or recipient.
  • Provides Obstetrics (OB) support including running reports and maintaining OB logs.
  • Provides chart review support to PAs and NPs, forwarding reviews to physicians and maintaining a chart review log.
  • Performs other duties as assigned.

Position Highlights

What You’ll Do
  • Maintains and updates reports and registries for the PCHH team. Responsible for all registry work to include outreach activities, scheduling and documentation. Reviews registry data and ensures proper compliance with established workflows and procedures
  • Completes audits for invasive procedures and in-house labs. Audits other PCHH data and initiatives. Tracks all audits, providing documentation of audits as requested
  • Identifies and collects process improvement ideas and communicates them to the appropriate staff
  • Works with patients and staff to ensure completion of Release of Information (ROI) forms. Sends subpoenas and court orders to the Health Information Management (HIM) department for processing
  • Sorts and distributes mail and faxes to the appropriate department or recipient
  • Provides Obstetrics (OB) support as needed to include running reports, maintaining the OB log, and providing consent forms and records to the hospital
  • Provides chart review support to Physician Assistants (PA) and Nurse Practitioners (NP) as needed. This includes forwarding the chart reviews to physicians and maintaining a chart review log
  • Performs other duties as assigned
Qualifications
  • High school diploma or General Education Diploma (GED)
  • Associates Degree or Certificate from an accredited technical school preferred
  • One year's experience working in an office setting, preferably a medical or dental office
  • Two years' experience working in a medical or dental office preferred
  • Bilingual (English/Spanish) required at level 9 on the language proficiency scale to receive bilingual differential pay
  • Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions
  • Ability to effectively interact with patients, providers and staff in a professional manner
  • Basic proficiency with a variety of computer programs including Electronic Medical Records, Word and Excel
  • Basic knowledge of medical terminology desired
  • This position requires travel to provide coverage at various sites
  • Duties may require work during the evenings, weekends and holidays
