Job summary

Sinai Chicago seeks a Staffing Resource Coordinator to manage staffing and scheduling for designated clinical areas. You will coordinate resources, maintain staffing records, and ensure timely payroll processing while aligning with hospital policies.

You will monitor staffing needs, approve overtime and agency usage, train staff on scheduling systems, and generate daily reports to support unit leadership and financial controls.

Qualifications

• Knowledge of computer hardware and software relevant to work functions
• Knowledge of nursing unit functions and medical terminology
• Ability to perform mathematical calculations for reports and schedules
• Experience with multi-line phone, copy, fax, email and internet
• Ability to prioritize work with minimal supervision

Responsibilities

• Provides staffing coordination for patient care units as delegated with leadership and SHS Float Pool
• Maintains staffing documentation on all units during shifts and prior to end of pay period
• Ensures staffing practices align with unit guidelines
• Reassesses staffing needs to support cost-effective decisions and emergency coverage
• Anticipates supplemental staffing needs and secures back-up staff with approvals for overtime/agency
• Maintains records for 1:1 care needs and monitors overtime for sitter cases
• Establishes and maintains access to staffing/scheduling software and provides training
• Records call-ins and ensures data is updated in scheduling systems for review
• Ensures timely entry of agency attendance and supports reports to Finance
• Processes agency invoices weekly in line with standards
• Supports orientation for new personnel to scheduling/pay practices
• Engages chain of command to resolve issues
• Generates daily staffing reports and reconciles discrepancies
• Maintains proficient computer skills to develop reports and tools
• Maintains confidentiality and good public relations with stakeholders
• Performs other duties as assigned
