Job summary

Spaulding Clinical Research management is hiring a Scheduling Coordinator to align staff schedules with study protocols at our West Bend headquarters. You will translate protocol needs into staffing plans, confirm staff availability, and assign qualified personnel for daily study activities.

You will work with Clinical Operations and other teams to ensure timely coverage, maintain confidentiality, and uphold SOPs and regulatory standards throughout scheduling processes.

Qualifications

• Ability to read, write, communicate, and interpret information effectively in English.
• Proficiency with Microsoft Excel and Outlook.
• Familiarity with Microsoft Teams or similar workplace tools.
• Familiarity with scheduling software or willingness to learn.
• Ability to maintain confidentiality with staff, participants, and study data.
• Strong organizational skills, attention to detail, and accuracy.
• Analytical and problem-solving abilities.
• Effective written and verbal communication.
• Ability to manage multiple priorities and meet deadlines.
• Ability to work independently while collaborating in a team.

Responsibilities

• Review protocol event schedules and translate study-specific activities into appropriate staffing needs.
• Develop and maintain staffing schedules and daily assignment sheets based on protocol requirements.
• Obtain, track, and maintain staff availability and coordinate assignments for weekly and daily study activities.
• Assign staff to study activities based on availability, training, competencies, and study requirements.
• Communicate schedules and staffing assignments to clinical staff and adjust as needed.
• Maintain accurate scheduling records, spreadsheets, and related documentation.
• Use Excel, Outlook, Teams, and scheduling software to coordinate staffing and communicate schedules.
• Maintain confidentiality when handling schedules and staffing information.
• Review study materials to understand requirements and procedures.
• Keep knowledge of SOPs, GCP, ICH guidelines, and applicable regulations.
• Collaborate with Clinical Operations and other departments to address staffing needs and changes.
• Support study procedures as trained (e.g., participant information, samples, etc.).
• Perform other duties to support clinical operations and study execution.
