Job Description
Summary of Essential Duties and Responsibilities:
The Clinical Student Onboarding Specialist will oversee and coordinate the onboarding process for clinical students at NYC Health + Hospitals (hereafter, referred to as the system). This role ensures that all clinical students meet the system’s onboarding policies and procedures while collaborating with educational institutions to ensure the successful placement of students in clinical programs at approved facilities. The Onboarding Specialist will manage all aspects of student onboarding, placement at the facilities, contract management, and compliance with regulatory requirements for clinical placements.
Onboarding Coordination
- Oversee the onboarding process for clinical students, ensuring all required documentation, background checks, and health screenings are completed in accordance with system policies, and within the required timeframe.
- Maintain accurate and up-to-date records of clinical student onboarding and placement status.
- Work with Contingent Health Worker* office to ensure all clinical students are entered into PeopleSoft and have the correct level of access to complete their clinical training
Contract Execution And Tracking
- Liaise with academic institutions, and work on student agreements completion for clinical placements.
- Ensure that student agreements are aligned with the system’s policies and comply with accreditation and regulatory standards.
- Review and process agreements between the system and educational institutions, tracking their validity and renewal dates.
Compliance And Policy Adherence
- Ensure that clinical students comply with the system's regulatory requirements, including background checks, health clearances, required certifications, and system-required trainings.
Communication & Collaboration
- Serve as the primary point of contact for educational institutions regarding student placements, orientations, and compliance.
- Communicate regularly with facilities about the onboarding status of their prospective clinical students.
- Transmit student rosters to facility stakeholders (HR, facility Education Coordinators) to complete onboarding.
- Coordinate with department points of contact, such as the Social Work Training Academy, during the placement process.
Data Tracking And Reporting
- Help match students with clinical placements by participating in the review/scoring of student applications for placement and facility capacity.
- Track progression of clinical student onboarding and placements, and any incidents or issues.
- Prepare and submit regular reports on onboarding activities and student compliance to the departments, the Clinical Education Manager, and Human Resources.
Data Integrity Of Human Capital Management
- Maintain accuracy and integrity of PeopleSoft HR data; perform transactional work, data entry.
- Ensure clinical students have technical assistance with Peoplesoft.
- Review and process employment actions in PeopleSoft (new hires, data changes, closing positions etc.) and send corresponding notification letters/emails to clinical students.
Problem-Solving And Student Support
- Create a great student onboarding experience/journey through frequent, effective, and proactive oral and written communication.
- Collaborate with the facilities department heads and preceptors to ensure that clinical students are properly prepared for their rotations and assignments.
- Coordinate with facility staff to ensure students receive proper mentorship and support during their clinical training.
- Address any issues or challenges that arise during the onboarding process or clinical placement, collaborating with the clinical education team and academic institutions to resolve concerns.
- Receive feedback and relay any issues related to student performance and assigned preceptors to department leadership.
- Provide ongoing support to clinical students, preceptors, and educational institutions throughout the student placement period.
Offboarding
- Ensure the return of company-owned property, such as identification cards, access cards, keys, laptops, and other equipment.
- Verify that all company-issued accounts, software licenses, and access permissions are deactivated at the conclusion of a clinical placement.
- Work with Enterprise Service Desk and Contingent Health Worker Office* to terminate access to NYC Health + Hospitals systems (EPIC, Peoplesoft), networks, and email accounts.
- Ensure that access to confidential or sensitive information is terminated at the end of assignment.
Review of HIPAA and Confidentiality Policies*:
- Ensures compliance with all enterprise training requirements i.e. HIPAA compliance.
- Ensure that the departing individual understands that the obligation to uphold confidentiality continues even after their rotation ends. This includes restrictions on sharing patient data, conversations, or any other sensitive information they had access to during their time at the hospital.
Additional Responsibilities
- Attend meetings as requested.
- Other duties as assigned.
The Student Onboarding Specialist may be responsible for the end-to-end coordination and administration of the processes for observations, non-clinical internships, and clinical rotation education experiences. Works closely with colleges, universities and school systems to understand program requirements and manage relationships. A creative individual who has experience in coordinating a variety of learning experiences and support resources. Must be adept at managing multiple responsibilities simultaneously while supporting the continued growth of learning and development’s student programs and workforce development.
Minimum Qualifications
- Associate’s Degree from an accredited college or university in Human Resources Management, Public Relations, Healthcare Administration, or a related discipline; or
- High School Diploma or its educational equivalent and two (2) years of relevant experience in human resources, administration, labor relations, employee relations, learning and development, talent acquisition, customer service (providing information and resolving customer concerns), or a related administrative support function.
Department Preferences
- Bachelor’s degree in Human Resources, Healthcare Administration, Education, or related field.
- Proficiency with MS Office Suite (Excel, Word, Outlook, PowerPoint).
- Proficiency with Google Docs.
- Proficiency with PeopleSoft, HCM System or onboarding software.
- Knowledge of healthcare compliance standards (e.g., HIPAA, OSHA) and student onboarding best practices.
- Ability to work independently and as a team player who will productively engage with others at varying facilities
- Strong organizational and time-management skills.
- Excellent communication skills, both written and verbal.
- Ability to work independently and collaboratively in a team environment.
