Vivo Infusion in Lancaster, PA is seeking a Clinical Service Specialist to manage front-end operations at the infusion center, greet patients, handle payments, schedule appointments, verify insurance benefits, and obtain necessary authorizations. The role requires healthcare administrative experience, proficiency with MS Office, HIPAA compliance, and excellent communication.

Some travel to other Vivo clinics may be required.

Qualifications

• High School graduate or equivalent required.
• 2 years of administrative experience in a healthcare environment, required.
• Medical Assistant Certification or Medical Office experience, preferred.
• 1 year working with insurance authorizations, benefits verifications, and billing, preferred.
• Working knowledge of medical terminology, required.
• Active CPR/BLS prior to starting work, required.
• Demonstrates intermediate typing skills (50+ wpm), computer literacy with MS Office (Excel, Word, PowerPoint), and proficiency in office equipment and information systems, including billing databases.
• Potential travel to other local Vivo clinics to provide administrative support if needed.

Responsibilities

• Manages front-end operations: calls, patient greeting, payments, deliveries, mail handling.
• Proactively reviews patient cancellations and reschedules treatments; notifies care teams and reminders for upcoming appointments.
• Receives invoices, reviews for accuracy, and routes to Clinic Manager and Accounts Payable for payment.
• Schedules patients for follow-up infusion treatments with the Patient Care Navigator team.
• Collaborates with referring providers to obtain and file medical records; maintains HIPAA-compliant records.
• Maintains information systems, prepares reports for the Clinic Manager, and tracks statistics.
• Assists with clinical inventory management in coordination with the Clinical Operations Manager.
• Fosters positive relationships with staff, providers, and external agencies.
