Job summary

The Jossselyn Center NFP in Waukegan, IL is seeking a Clinical Operations Manager to lead clinical and operational functions in a hybrid role. You will oversee staff performance, ensure documentation compliance, and drive efficient service delivery for assigned programs.

Qualifications

• Licensed for independent clinical practice in Illinois in mental health or related field.
• Currently in a clinical leadership position at the assigned site.
• Strong administrative, supervisory, and organizational skills.
• Experience leading staff, coordinating schedules and daily workflows.
• Experience with EHR/EMR systems and data reporting.
• Advanced written and oral communication skills.

Responsibilities

• Supervise and evaluate 6 clinical staff ensuring productivity and documentation.
• Provide coaching to clinical staff on administrative and operational duties.
• Partner with Clinical Supervisors to ensure compliance with productivity and caseloads.
• Collaborate with Directors to address quality concerns and implement improvement plans.
• Contribute to annual performance evaluations for clinical staff.
• Monitor clinical operations data and reporting from the Data Analyst.
• Develop and update policies and compliance documentation.
• Support crisis requests for clinical and front desk staff.
• Uphold confidentiality, client rights, safety and incident reporting.
• Perform other duties as assigned.

The Clinical Operations Manager is a hybrid role responsible for providing both clinical and operational leadership for assigned programs and staff. This role oversees the administrative, clinical and service functions necessary to ensure high-quality, compliant, and efficient service delivery, including monitoring documentation, workflows, staff productivity, and operational performance.

Schedule

4 day work week until 9 PM, Monday - Thursday

Essential Responsibilities and Metrics

• Supervise and evaluate the performance of 6 clinical staff, ensuring compliance with productivity requirements, assessments, and documentation.
• Provide ongoing coaching and support to clinical staff, as assigned, regarding administrative and operational responsibilities, ensuring staff adhere to organizational expectations and procedures.
• Partner with Clinical Supervisors to support their staff in meeting compliance with administrative requirements, including productivity standards, documentation timeliness, caseload management, scheduling expectations, and other organizational responsibilities. This includes reviewing and auditing documentation, caseloads, calendars, and related operational activities to ensure adherence to organizational expectations.
• Collaborate with Director of Clinical Quality Improvement to address quality concerns, including creating, and implementing corrective action plans and performance improvement strategies.
• Partner with Clinical Supervisors in the completion of annual performance evaluations for clinical staff
• Collaborate with the Clinical Leadership team which includes Site Director and Clinical Directors to address performance issues
• Be available to handle crisis requests for clinical and front desk staff
• Analyze, monitor and provide oversight of clinical operations data and reports generated by the Data Analyst
• Develop, maintain and update organizational policies, procedures and compliance-related documentation to align with regulatory requirements and best practices
• Model and uphold Josselyn's values, ethical standards, and policies ensuring adherence to confidentiality, client rights, safety, incident report and other organizational responsibilities.
• Other duties as assigned

Qualifications

• Licensed for independent clinical practice in the State of Illinois in mental health or a related field
• Candidate must currently be in a current clinical leadership position at the assigned site
• Demonstrated administrative, supervisory and organizational skills
• Experience leading staff, coordinating schedules, training employees, or overseeing daily workflows.
• Experience with EHR/EMR systems, Microsoft Office, scheduling tools, reporting dashboards, and basic data tracking.
