About The Role

As the founding Clinical Operations Manager (reporting to the Co-Founder & COO), you will support clinic partners in the operational challenges of treating Spravato and TMS patients, as well as training new clinic partners during their onboarding. You will be the owner of delivering on the services that we offer to our partners; you will oversee daily partner tasks, resolve escalations from clinic partners, and continuously improve workflows to optimize patient throughput and satisfaction. You will build close relationships with our partner clinics, and will interact directly with health plans, patients, and other members of the Big Leap team (including our medical directors) to ensure that patients are able to access the mental health treatment they so badly need. You will directly supervise multiple remote junior operations team members who each specialize in certain elements of Big Leap’s client services (e.g. benefit verification, cost estimation, prior authorization management). You will be responsible for designing and refining our SOPs, providing feedback on product tools that streamline clinic workflows, and building scalable processes that will serve as the blueprint for our future expansion.

This role is ideal for someone who wants to dramatically scale their experience in outpatient clinic operations. You should have broad familiarity with all of the core front and back office processes at an outpatient clinic, including pre-visit registration, clinical encounter charting & documentation, prior authorization handling, billing, and patient collections. Experience with operations supporting TMS or Spravato treatments are a plus but are not required.

In the role, you be responsible for:

  • Building new processes to streamline and overhaul our day-to-day clinical operations
  • Ensuring all patients have an accurate view of their benefits and expected treatment costs
  • Gaining successful prior authorizations for patients where required
  • Problem solving with our partner clinics to ensure patients are moved promptly through pre-treatment processes and successfully scheduled for treatment
  • Training new partner clinics in the core Big Leap processes and tooling
  • Optimizing existing Big Leap processes and tooling to deliver a best-in-class experience to our partners and their patients

Your day to day responsibilities will be dynamic, with a wide variety of interesting challenges to solve and processes to optimize. Each day you will review the benefit verification and prior authorization queues, problem solving to ensure all partner deliverables are provided accurately and promptly. Beyond this, you should expect to solve new problems on a daily basis, specific to our partner’s unique operations, our technology and tooling, and local payer policies.

Located in the New York City area; we’re open to remote applicants but local candidates are preferred.

About You:

  • Bachelor’s degree and 3-5 years+ of professional experience
  • A broad understanding of front and back office outpatient clinic processes
  • Deep familiarity with health insurance plan designs and prior authorization processes
  • You are familiar with HIPAA and committed to complying with healthcare-specific rules and regulations
  • You are highly organized, effective at managing your time & priorities, and are a clear and concise communicator both verbally and in writing
  • You want to work with multiple independent clinics, and are excited by the challenge of adapting tooling and process to the unique requirements of each clinical partner
  • You are a collaborator – eager and adept at working with an early stage team to seed the growth of a transformative business.
  • You have (or want) startup experience.
  • Experience with TMS and/or Spravato is preferred but not required

Compensation range for this position is $85,000 to $115,000, depending on experience; actual compensation will be dependent upon the specific role, location, as well as the individual’s qualifications, experience, skills and certifications.
