Job Summary

The Elfers Cardiovascular Center provides outpatient care for patients at high risk of heart disease and offers diagnosis, management of acute and chronic conditions, and preventive care. Local travel to other Newton‑Wellesley Cardiology sites in Needham and Chestnut Hill may be required for cross‑coverage. The position is full‑time (40 hours per week) and is expected to be onsite Monday through Friday from 8:30 am to 5:00 pm.

Summary

Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under minimal supervision. Handles patient visits, scheduling, check‑in, check‑out duties, and billing forms. The role does not involve direct patient care.

Essential Functions
  • Perform routine administrative and clerical duties in a clinical service or physician practice office. Make patient appointments and maintain appointment records; assist callers with routine inquiries; process patient billing forms; scan documents to patient medical record/LMR.
  • Act as “Super User” for scheduling, registration, and billing systems, providing assistance and training to others. May perform more complex or specialized functions such as surgical scheduling and schedule changes/blocking at an advanced competency level.
  • Provide functional guidance to Office and Practice Assistants.
  • In conjunction with the Supervisor, oversee daily activities of practice staff.
  • May be required to accept co‑payments and handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.
Qualifications
  • Education: High School Diploma or Equivalent required; Associate’s Degree in Health Administration or Related Field of Study preferred.
Experience
  • Experience in administrative roles, preferably in a healthcare setting, 3–5 years required.
  • Experience in a supervisory or leadership role 1–2 years preferred.

Remote Type: Onsite. Work Location: 2000 Washington Street. Scheduled Weekly Hours: 40. Employee Type: Regular. Work Shift: Day (United States of America). Pay Range: $19.37–$27.71 per hour. Grade: 4.
