Job summary

UCSF Health seeks an Administrative Supervisor to oversee clinic operations across multiple providers and practices. This role supervises staff, coordinates with the referral and access centers, and ensures high-quality scheduling, billing, and access services.

Qualifications

  • Bachelor's degree or equivalent combination of experience/training.
  • 5+ years of progressive supervisory experience.
  • Demonstrated supervisory and organizational skills for clinic/center administration.
  • Strong knowledge of clinic/center operations, scheduling systems, and health information terminology.
  • People management, training, evaluation, and HR matters.

Responsibilities

  • Provide direct daily supervision of practice coordinators and team leads with real-time monitoring of workflows and performance metrics.
  • Review and update staff schedules to ensure proper staffing and adherence to projections.
  • Handle daily communications and escalations with staff, team leads, and Home Team via emails, chats, calls, etc., including EMR in-box messages.
  • Manage attendance, timekeeping, and time-off processes; track trends and take action.
  • Lead and participate in meetings (manager, team leads, huddles) to align priorities.
  • Monitor pod performance, respond to service level escalations, and escalate to the Manager as needed.
  • Submit QA tickets, coordinate resolutions with stakeholders, and track issues.
  • Conduct monthly 1:1s with coordinators and leads; review calls for quality coaching and HR compliance.
  • Support development plans, onboarding, precepting, competency checks, and performance evaluations.
  • Uphold UCSF Health standards and promote staff engagement and continuous improvement.
