Overview
We are seeking a friendly, organized Medical Office Coordinator to serve as the front-desk point of contact for a busy outpatient clinic. This role supports patients, providers, and clinic staff by managing check-in and check-out, appointments, insurance verification, payments, and administrative workflows.
What you will be doing
- Welcome patients and visitors with a professional, courteous approach.
- Complete patient registration, check-in, check-out, and appointment scheduling and rescheduling.
- Verify demographics, insurance coverage, referrals, and required patient information at each visit.
- Collect co-pays, pre-payments, co-insurance, and self-pay balances at time of service.
- Prepare and scan patient paperwork, insurance cards, medical records, and other documents accurately.
- Create and update patient encounters in the electronic health record and support pre-clinic chart preparation.
- Handle incoming calls and faxes; route communications to the appropriate team member.
- Coordinate with providers and clinical support staff to keep daily clinic operations running smoothly.
- Reconcile daily payments, complete required end-of-day reports, and assist with deposit documentation.
- Support medical-records, disability, and FMLA paperwork processes as needed.
- Participate in occasional Saturday rotation and travel between nearby clinic locations when needed.
What you must have
- High school diploma or equivalent.
- Professional, friendly communication skills and a patient-first mindset.
- Medical office or patient-facing administrative experience preferred.
- Comfort working accurately across multiple systems and managing changing priorities.
- Basic Microsoft Office skills and confidence learning clinic software and electronic health records.
- Ability to maintain confidentiality and follow established office, safety, and compliance procedures.
Physical Requirements
- Ability to communicate effectively, read and comprehend information, and frequently sit, stand, walk, reach, handle objects, and use a computer. The role may require occasional climbing, pulling, pushing, kneeling, and lifting up to 25 pounds without assistance.
