Job summary

Fairview Health Services in Minneapolis, MN, has an immediate opening for a Clinic Appointment Coordinator - Scheduler to join our Clinics and Surgery Center. This is a 1.0 FTE role (80 hours per two weeks) with hours Mon-Fri 7:00 AM–5:30 PM and no weekends.

The coordinator supports patient check-in/check-out and appointment scheduling, working closely with clinic staff to ensure a patient-centered experience.

Qualifications

• Post-high school education or training with basic medical terminology and keyboarding skills.
• 1 year of customer service experience working with the public.

Responsibilities

• Prioritize patient/guest needs while maintaining a friendly demeanor.
• Monitor Care Connect and assist if the care team is delayed.
• Arrange interpreter services when needed.
• Coordinate and schedule follow-up appointments after visits.
• Monitor reschedule list, contact patient, confirm availability.
• Communicate across care team and departments.
• Ensure patient needs are met and involve team when needed.

Fairview has an immediate opening for a Clinic Appointment Coordinator - Scheduler to join our Clinics and Surgery Center (CSC) located in Minneapolis, MN. This is a 1.0FTE (80 hours per two weeks pay period), benefits-eligible opening. Clinic Hours of Operation are Monday-Friday 7:00AM-5:30PM. NO WEEKENDS!

Clinic coordinators are a valuable member of our care team are are resposible to ensure that patients, their families and guests have an unparalled excellent experience at the CSC. Each member of the clinic coordinator team is responsible for ensuring efficient operation of patient check-in and check-out processes for the clinics they support. The team works collaboratively with clinic management and staff to support the business needs of the clinic which include, but is not limited to: working wait/reschedule list, answering clinic phones, working In-basket messages, check-out, scheduling, clinic faxes, and work queue reports. The clinic coordinator actively uses and embrace technological enhancements to support their role. They maintain a patient friendly and welcoming disposition when interacting with patients and their family. They utilize strong customer service skills and promote the organizational philosophy of patient centered care to proactively meet the needs of all patients and their families during their clinic visits and/or other interactions.

Responsibilities

• Maintains awareness of multiple competing situations and prioritizes to assure patient/guest needs are met, while maintaining a pleasant, friendly demeanor.
• Monitors Care Connect information and intervenes with patient if the care team is delayed, and assists the patient care team as necessary.
• Assure that appropriate interpreter services are present if needed
• Accurately coordinates and schedules follow up and/or future appointments and/or procedures following patient visit with provider.
• Rescheduling appointments: Monitor reschedule list for appointments in a timely manner, contact patient, ensures provider availability, and finalize appointment.
• Communicates effectively with all members of the care team and across departments to ensure patient care process.
• Meets the needs of the patient and involves patient care team and management when necessary

Required Qualifications

• Combination Education & Experience Post HS education or training with basic medical terminology and keyboarding skills.
• 1 year of customer service experience working with the public.
