Talk NY Therapy is seeking a detail-oriented Client Success Specialist to support clients and therapists in a remote, teletherapy-focused environment. You will handle scheduling, intake follow-ups, and important client communications while collaborating with administrative staff and licensed therapists.

The ideal candidate has experience in scheduling and administrative roles within healthcare, strong communication skills, and the ability to multitask in a fast-growth setting.

Qualifications

Responsibilities

• Answer phone calls during afternoon, evenings and weekends.
• Respond to time-sensitive emails and requests during evenings/weekends.
• Provide excellent customer service to clients and therapists via email or phone.
• Coordinate teletherapy appointments using TalkNY's scheduling software as needed.
• Follow up with clients regarding intake appointments.
• Assist clients with therapist transfers and scheduling follow-ups.
• Support additional scheduling and administrative tasks as needed.

About Us:

Talk NY Therapy (TalkNYC Psychotherapy, Mental Health Counseling) is a provider of psychotherapy and group therapy services, primarily carried out on a virtual (teletherapy) basis, to patients located within New York. Our network of licensed therapists are specialized in various areas of mental health, and we strive to make mental health care accessible and convenient for our clients.

Job Summary:

We are seeking a detail-oriented, forward-thinking, and highly organized individual to join our team as a Client Success Specialist from 12PM-8PM. The Client Success Specialist will be available during certain business hours and evenings and weekends to handle client phone calls, urgent matters, and client follow ups for scheduling intake appointments. This individual will work closely with clients, therapists, and administrative staff. The ideal candidate will possess excellent communication skills, the ability to multitask and be comfortable working in a fast-growth environment.

Key Responsibilities:

• Answer phone calls during the afternoon shift, evening and weekend hours
• Respond to time sensitive emails and requests during evening and weekend hours
• Provide exceptional customer service and support to clients and therapists via email or phone
• Coordinate the scheduling of teletherapy appointments for clients and therapists using TalkNY's scheduling software when necessary
• Follow up with clients regarding intake appointments
• Assist clients with therapist transfers and scheduling follow up appointments
• Assist with additional scheduling and administrative tasks as needed

Qualifications:

• Prior experience in scheduling, administrative support, or a similar role, preferably in a healthcare or mental health setting
• Proficiency in using scheduling software and other office tools (e.g., Microsoft Office Suite, Google Workspace, EMR/EHR -AdvancedMD experience is a plus)
• Strong organizational skills and attention to detail
• Excellent verbal and written communication skills
• Ability to handle sensitive and confidential information with discretion
• Strong problem-solving skills and the ability to handle stressful situations calmly
• Ability to work independently and as part of a team in a remote work environment.

Compensation and Benefits:

• Compensation: $24/hour
• Work from home
• Medical Stipend, as eligible
• PTO

Physical Requirements:

This position primarily operates in an office environment. The role requires the ability to sit for extended periods, use a computer and other standard office equipment, and occasionally lift or move items up to 10-15 pounds. Some walking, bending, and standing may be required.
