Responsibilities

  • Serve as primary contact for clients with prompt, professional service.
  • Coordinate advisor meetings and manage calendars.
  • Process new account paperwork and ongoing service transactions.
  • Maintain accurate client records in the CRM and firm systems.
  • Support advisors with administrative tasks and client communications.
  • Protect confidentiality and ensure compliance in all client interactions.

The Client Service Representative (CSR) serves as a key member of our team and plays an essential role in creating an outstanding client experience. This position is responsible for supporting advisors and clients through account servicing, appointment coordination, application processing, and ongoing client communications. The ideal candidate is detail-oriented, highly organized, service-focused, and enjoys building meaningful relationships while working in a collaborative team environment.

This is an in-office position at our Tacoma, WA location.

What You'll Do
Client Service & Relationship Management
  • Serve as a primary point of contact for clients, providing prompt, professional, and friendly service.
  • Build strong relationships with clients through consistent communication and attention to detail.
  • Respond to client inquiries regarding accounts, transactions, and service requests.
  • Follow up with clients to obtain required documentation and resolve outstanding items.
  • Maintain accurate records of client interactions and account activities within the firm's CRM system.
  • Help create a welcoming and positive experience for every client interaction.
Appointment & Calendar Coordination
  • Schedule, confirm, and coordinate client meetings for advisors.
  • Manage advisor calendars and meeting logistics.
  • Prepare meeting materials, reports, and required documentation in advance of appointments.
  • Coordinate client review meetings and other firm events.
New Business & Account Processing
  • Prepare, submit, and track new account applications and related paperwork.
  • Process account maintenance requests, beneficiary changes, transfers, rollovers, and other service transactions.
  • Review forms for accuracy and completeness prior to submission.
  • Monitor application and transaction status and proactively communicate updates to clients and advisors.
  • Maintain organized and compliant client files and records.
Operations & Team Support
  • Support advisors with administrative and client service activities.
  • Coordinate workflow and track outstanding service requests to ensure timely completion.
  • Act as a liaison between clients, custodians, carriers, and home office service teams.
  • Assist in identifying and resolving client service issues.
  • Contribute to process improvements that enhance efficiency and the overall client experience.
Compliance & Confidentiality
  • Handle confidential client information with the highest level of professionalism and discretion.
  • Follow firm policies and industry regulations regarding client documentation and account servicing.
  • Ensure transactions and records are processed accurately and in a timely manner.
What We're Looking For
Required Qualifications
  • High school diploma or equivalent.
  • Minimum of 2 years of experience in customer service, client service, administrative support, banking, insurance, or financial services.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage multiple priorities while maintaining attention to detail.
  • Proficiency with Microsoft Office applications and technology platforms.
  • Professional, positive, and client-focused attitude.
Preferred Qualifications
  • Experience working in a financial advisory, wealth management, insurance, banking, or financial services environment.
  • Experience using CRM software and client management systems.
  • Familiarity with account applications, transfers, and service transactions.
  • Associate's or bachelor's degree.
