Client Service Associate
Croak Capital is a growing wealth management firm serving successful families and institutions. We are hiring a Client Service Associate to sit at the center of our client experience and own scheduling, meeting prep, follow‑ups, and day‑to‑day service. This is a client‑facing execution role for someone who is organized, sharp, and comfortable working with high expectations.
What you’ll do
- Own scheduling and calendars for advisors, including client meetings, internal touchpoints, and follow ups.
- Run client meetings end‑to‑end: confirmations, assembling materials, preparing agendas, and ensuring clean post‑meeting follow‑through.
- Drive client communication: Draft and send clear, professional emails that recap meetings, outline next steps, and answer basic questions.
- Coordinate reminders, confirmations, and follow‑ups so clients always know what is happening and when.
- Be the CRM hub for your advisors:
- Log all client interactions, tasks, and meeting notes in Salesforce.
- Maintain clean household, contact, and account records.
- Monitor task queues and make sure nothing falls through the cracks.
- Help pull simple reports and lists so the team can see what is outstanding.
- Manage day‑to‑day client service requests: handle incoming calls and emails, route items to the right team member, and track each item to completion.
- Prepare client‑facing materials such as summaries, forms, and checklists with a high level of accuracy.
- Protect confidentiality and handle sensitive information with discretion and sound judgment.
Who you are
- You have 3+ years in a client service, administrative, or coordinator role in a professional setting. Experience in financial services is a plus but not required.
- You are comfortable in CRM systems and like working in structured systems. If you have not used Salesforce, you are confident you can learn it quickly and use it all day.
- You care about data accuracy and understand that clean inputs drive good decisions. Broken or missing data bothers you.
- You write clear, concise emails and are comfortable being a primary point of contact for clients on logistics and service items.
- You are organized, reliable, and known for following through on details without needing reminders.
- You handle multiple priorities well and are comfortable asking direct questions when something is unclear.
- You like clear standards and a team that wants things done the right way.
