Job summary

Kestra Financial Independent Advisor in New Jersey is seeking a Client Service Associate to deliver premier client support and handle administrative duties within a wealth management practice.

You will manage account administration, client communications, scheduling, and compliance duties while coordinating with financial advisors, custodians, and operations teams to ensure a seamless client experience.

Qualifications

  • Associate’s or Bachelor’s degree preferred in Business, Finance, Accounting, or related field.
  • 2+ years of client service, banking, financial services, or administrative experience.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience with CRM systems such as Redtail, Salesforce, Wealthbox, or similar platforms.

Responsibilities

  • Serve as the primary point of contact for client service requests and inquiries.
  • Build and maintain strong relationships with clients through professional and timely communication.
  • Assist clients with account maintenance, paperwork, and general service needs.
  • Coordinate client meetings and prepare meeting materials.
  • Process new account openings, transfers, rollovers, and account updates.
  • Prepare and track client paperwork to ensure accurate and timely completion.
  • Monitor account documentation and maintain organized client records.
  • Assist with beneficiary changes, address updates, distributions, and other account servicing requests.
  • Ensure all client transactions and documentation comply with regulatory and firm requirements.
  • Maintain accurate records in CRM and portfolio management systems.
  • Assist with compliance reviews, audits, and supervisory requests.
  • Follow procedures for handling confidential client information.
  • Support financial advisors with meeting preparation and follow-up activities.
  • Generate reports, client summaries, and presentation materials.
  • Assist with marketing events, workshops, and client appreciation activities.
  • Help manage workflow priorities and operational deadlines.
  • Respond promptly to client emails and phone calls.
  • Coordinate with custodians, insurance companies, and other financial institutions regarding client requests.
  • Provide status updates on pending transactions and service requests.

Position Summary

The Client Service Associate is responsible for delivering exceptional client support and administrative services within a financial advisory practice. Key Responsibilities
