This is a client-facing operations role, ideal for someone who's organized, proactive, and genuinely enjoys creating a great experience for clients and colleagues alike. What You'll Do
Client Meetings & Experience
- Attend client meetings as needed to support advisors, document key discussion points, and coordinate follow‑up items
- Prepare meeting notes, update the CRM, and create and monitor follow‑up tasks
- Help curate a professional, welcoming in‑person experience — from meeting room prep to greeting clients and coordinating refreshments
- Anticipate client and advisor needs before and during in‑office meetings
Client Onboarding & Account Support
- Coordinate new‑client onboarding, including account paperwork, asset transfers, document collection, and online access setup
- Assist with quarterly account reviews and prepare materials for advisor review
- Update financial plans with new client information as directed by the advisor
- Prepare and track account‑opening, maintenance, beneficiary, and money‑movement paperwork
Relationship & Communication
- Serve as a point of contact for routine client and business‑partner requests related to account administration
- Communicate with clients, custodians, and other business partners to provide updates and resolve administrative issues
- Maintain accurate, organized client records across firm systems
CRM & Operations
- Take a lead role in CRM functionality — data quality, workflows, templates, task management, reports, and team education
- Complete the weekly cash balance report review and coordinate necessary trading actions with advisors
- Maintain required minimum distribution (RMD) reporting and track distributions through completion
- Assist with investment policy committee reports and materials
Growth & Process Improvement
- Provide support for firm growth initiatives, including webinars, newsletters, social media coordination, and client events
- Identify workflow gaps and opportunities to improve efficiency and client experience
- Take initiative on service, operations, and process‑improvement projects
- Know when to escalated — routing financial advice, investment decisions, tax matters, or compliance judgment calls to the appropriate team member
What You Bring
Education & Experience
- Bachelor's degree or equivalent professional experience
- Prior client service or operations experience within a registered investment adviser or wealth‑management firm preferred
Skills
- Strong attention to detail, organization, and time‑management skills
- Ability to manage multiple priorities and see responsibilities through to completion
- Proactive, resourceful, and eager to learn
- Strong written, verbal, and active‑listening skills
- Professional, empathetic approach to client service
- Sound judgment and the ability to recognize when to escalated an issue
- Comfort learning and working across multiple technology platforms
- Intermediate to advanced proficiency with Microsoft Office
- Experience with CRM, custodian, or document‑management systems preferred
Licensing
- Employment is contingent upon completing the Series 65 licensing requirement within 4 months of your start date (strongly preferred, but not required at time of hire)
- Must be willing to obtain and maintain a notary public commission
