Join Our Family-Owned Insurance Agency in Downtown Elgin, IL

Kirkpatrick, Jones & Herzog Insurance, a trusted, family-owned agency located in the heart of Downtown Elgin, is seeking a detail-oriented and proactive Client Services Coordinator to support our team 3 days a week (24–30 hours). This role is ideal for someone who enjoys behind-the-scenes operations and thrives in an organized, supportive environment.

You’ll be responsible for a variety of essential administrative and servicing duties, including issuing ID cards, processing billing changes, handling Certificates of Insurance (COIs), quote management, agency downloads, CRM updates, and more. This position is a great fit for someone with prior insurance office or administrative experience who is looking for a steady, part-time schedule in a collaborative setting.

Key Responsibilities:

  • Process and issue ID cards and COIs accurately and promptly
  • Manage billing changes and basic policy servicing tasks
  • Support agents by preparing and managing insurance quotes
  • Perform administrative duties to ensure smooth office workflow
  • Maintain and update client records in the CRM system
  • Monitor and process agency downloads from carriers
  • Provide backup support to the front office team when needed

Requirements:

  • Prior experience in insurance servicing or office administration preferred
  • Strong attention to detail and organizational skills
  • Comfort with client management systems (CRMs) and digital workflows
  • Excellent communication and time management abilities
  • Ability to work independently and follow established procedures
  • Bilingual (Spanish/English) is a plus

Schedule & Location:

  • Part-Time: 3 days per week, 24–30 hours total
  • On-site: Downtown Elgin, IL
