Position Summary

The Client Services Coordinator plays an essential role in ensuring operational excellence and executional rigor across strategic brand partnerships and campaign delivery. Positioned at the core of the Client Services team, this role functions as the organizational linchpin, maintaining the flow of communication, upholding timelines, managing follow-ups, and supporting cross‑functional teams with strategic clarity and process discipline. Whether you're capturing nuanced details in a client meeting, coordinating the execution of a live event, or assembling decks that bring brand storytelling to life, your presence will be felt across every touchpoint. Your focus on detail, ability to manage concurrent priorities, and passion for exceptional client service will make you a trusted partner to our internal teams and client stakeholders alike.

Essential Areas Of Responsibility
  • Project Coordination & Timeline Management
    • Own the development and maintenance of project timelines, status trackers, and key deliverable schedules across integrated campaigns.
    • Ensure timely follow‑ups with internal teams and external clients with clear, actionable next steps.
    • Document meetings (internal and client‑facing) with precision, capturing critical decisions, action items, and points of alignment or risk.
  • Client Communication & Support
    • Serve as a primary day‑to‑day support for the Client Services team, ensuring high‑quality communication with clients.
    • Help prepare presentations and reports for ongoing client projects and new business pitches, bringing clarity and polish to our external communications.
  • Cross‑Functional Collaboration
    • Partner with strategy, creative, production, digital, and analytics teams to ensure projects are cohesive, strategically aligned, and creatively resonant.
    • Facilitate internal team meetings and checkpoints to ensure deliverables are progressing on schedule and on brief.
  • Event & Campaign Execution
    • Provide on‑the‑ground support for live and experiential events, including setup coordination, asset procurement and shipping, vendor communication, and post‑event recaps.
    • Travel as needed to support event execution and ensure on‑site brand experiences run smoothly and professionally.
  • Process Optimization & Budget Awareness
    • Support accurate budget documentation and tracking by adhering to internal processes and flagging discrepancies early.
    • Help identify and recommend improvements to enhance operational workflows, communication practices, and project management tools.
Position Requirements
Skills, Knowledge and Abilities
  • Education Level: (Required) Bachelor's Degree or equivalent experience.
  • 1–3 years of experience in a client service, project management, or marketing coordination role within an agency or brand setting.
  • Demonstrated ability to manage timelines and juggle multiple projects at once with efficiency and attention to detail.
  • Proficiency in Microsoft Office and project management platforms such as Jira.
  • Excellent note‑taking, communication, and organizational skills.
  • Good interpersonal skills, along with the ability to build relationships with vendors and clients.
  • Passionate individual willing to immerse themself in their work.
  • Ability to work effectively with management.
  • Ability to complete multiple duties with accuracy, shifting from one to another with frequent interruptions and competing deadlines.
  • Self‑motivated with strong organizational and time‑management skills and the ability to work independently and effectively set priorities and deliver on time.
  • Strong computer skills including proficiency with Microsoft Word, Excel, PowerPoint, Access, Outlook, and web browsers.
  • Must be flexible when necessary; able and willing to explore and test new ways of doing things; must not remain set in ways to the detriment of the Company’s competitiveness.
  • Must show initiative and possess the ability to make decisions and solve problems quickly and effectively.
  • Relies on extensive experience and judgment to plan and accomplish goals.
  • Previous experience in a marketing, creative, or experiential agency environment and/or familiarity with event marketing and on‑site event coordination is preferred.
  • Fluency in Spanish is a plus.
