Savills is seeking a Client Services Coordinator in the Greater Philadelphia Region to join our team. You will act as an integrator for high-producing real estate advisors, ensuring timely execution, process orientation, and delivering high-quality work.

You will prepare proposals, presentations, and activity reports, coordinating with internal Savills expert verticals to synthesize deliverables for brokers and clients.

  • Organize client events including venue selection and invitations.
  • Coordinate on/offsite meetings, scheduling, calendars, and travel itineraries.
  • Update CRM and data tracking indices; manage marketing emails and lists.

About the Role

Savills is looking for a Client Services Coordinator in the Greater Philadelphia Region to join our team.

You will serve as an integrator for a team of high-producing real estate advisors, ensuring timely execution, process orientation, and taking ownership of producing high-quality deliverables as well as recommending and implementing process improvements.

You will utilize administrative and technical skills to provide support to the assigned brokerage team; to help them excel and grow. You will prepare proposals, presentations, and activity reports. You will coordinate with the internal Savills expert verticals (research, GIS, industrial services, global occupier services, etc.) to initiate expert deliverables and then synthesize that information into a holistic work product to review with the brokers and ultimately the clients.

Key Responsibilities
  • Coordinate with the internal Savills expert verticals (research, GIS, industrial services, global occupier services, creative services, etc.) to initiate expert deliverables and then synthesize that information into a holistic work product to review with the brokers and ultimately the clients.
  • Support brokers with tasks such as preparation and production of various reports and pitch presentations, market surveys, tour books, etc.
  • Maintain live project tracking and activity dashboards
  • Organize client events including venue selection, vendor selection, client invitations, etc.
  • Coordinate on/offsite meetings including scheduling appointments, keeping calendars, and arranging travel itineraries.
  • Update and maintain various information databases, CRM, and tracking indices.
  • Manage marketing email communications to clients and prospects – including curating lists within CRM and marketing automation applications.
  • Help with office accounting, including inputting billings, preparing commission invoices, reconcile cash receipts, send out reminder invoices, follow up on past due invoices, process co-broker payments and submit expense reports.
  • Perform all activities related to the accounts payable function including reviewing, coding, and processing payments.
  • Perform account receivable functions including invoicing, deposits, collections, and revenue recognition.
  • Complete ad hoc and special projects as directed by the Director of Operations or brokerage team.
Qualifications

Strong computer proficiency, including utilizing AI, crafting AI prompts, and leveraging AI to increase overall efficiency and scalability. You must like technology and not have a philosophical opposition to using AI.
