DUTIES AND RESPONSIBILITIES:

1. Provides the highest level of service to customers/vendors; provides detailed information on available services that align with requirements, assisting the customer in making informed decisions. Analyses customer requests and makes recommendations based on specific needs, ensuring realistic expectations that promote a dedicated customer base.

2. Takes ownership of process from start to finish and proactively communicates with vendors; resolves issues; adapts communication method to align with client needs.

3. Proactively engages with vendors, providing updates, following up, and informing them of any status changes.

4. Maintain positive client relationships by providing high-quality support and follow-up.

5. Coordinate with internal teams to ensure client needs are met and services are delivered on time.

6. Update client records, service logs, and databases accurately.

7. Schedule and dispatch service technicians/drivers based on availability, location, and priority.

8. Monitor field staff progress and provide updates or rerouting as necessary.

9. Communicate changes, delays, or emergencies to field staff and clients promptly.

10. Maintain real-time tracking of job status using dispatching software or systems.

11. Collaborate with operations and logistics teams to ensure efficient route planning and resource utilization.

12. Excels in a fast-paced, dynamic work environment. Perform multiple tasks and navigate systems simultaneously.

13. Ensures that dispatched vendors have all accurate information and POC information that need when contracted out for a job.

14. Other duties as assigned.

EDUCATION / TRAINING AND EXPERIENCE:

1. High school diploma or equivalent; associate degree or relevant certifications a plus.

2. 2+ years of experience in customer service, dispatching, or administrative coordination.

3. Proficiency with scheduling software, CRM systems, and Microsoft Office Suite.

4. Strong organizational, communication, and multitasking skills.

5. Ability to remain calm and effective under pressure.

KNOWLEDGE, SKILLS, ABILITIES:

1. Fluent in English with strong communication and interpersonal skills: clear written and verbal communication with demonstrated understanding of communication methods and styles; articulate clearly and concisely in a professional and hospitable manner without jargon or complicated language. Highly desirable: fluency in second language.

2. Excellent organizational and time management skills: adhere to deadlines and adapt to changing circumstances; handle high volume while maintaining excellent attention to detail; monitor own work and self-edit.

3. Ability to problem solve; analyse information and apply expertise and provide solutions.

4. Able to adapt to changing circumstances and prioritize work accordingly. Self-starter with desire to show ownership and commitment to role.

5. Proficiency with computer software, aptitude for learning new programs and commitment to data integrity.

WORKING CONDITIONS

1. Office environment: exposure to computer screens, working closely with others in an open office environment.

PHYSICAL DEMANDS:

1. Visual acuity: ability to view computer screen for full shift, approximately eight hours.

2. Sitting for extended period of time.

3. Manual dexterity for operating a computer, keyboard, and mouse.

4. Speaking for operating a phone with ability to convey detailed information accurately and clearly.

5. Walking (10% of the day)

6. Light lifting (no more than 25 pounds)
