Qualifications

• High School Diploma or equivalent required.
• Two to four years in a professional services environment preferred; Office Services, Catering, or Conference Services experience a plus.
• Excellent articulate telephone manner plus strong oral and written communication skills.
• Thorough knowledge of conference room scheduling and food service ordering.

Responsibilities

• Serve as primary contact for general administrative, visitor and meeting inquiries.
• Open the office and perform light cleaning and restocking tasks in the kitchen and front areas.
• Answer telephones, screen calls, route messages, and manage inquiries.
• Prepare correspondence, memos, and emails in response to routine questions.
• Manage reservations of visitors and conference rooms and coordinate bookings.
• Coordinate room setup, catering, AV needs and room service functions.
• Ensure building access is entered for approved visitors and vendors.
• Welcome and announce clients and visitors to the office.
• Assist with IT/AV issues, invoicing and mail processing.
• Support planning and execution of internal events and conferences.
