Chief of Staff KC is seeking a polished, organized, and service-minded Client Services Administrator to support a client in the Kansas City Metropolitan area. This role is ideal for someone who enjoys building strong relationships, keeping day-to-day operations organized, and serving as a dependable resource for both clients and internal team members. This is a hands-on opportunity for someone who takes initiative, pays close attention to detail, and enjoys finding ways to make processes more efficient.
Responsibilities
- Serve as a primary point of contact for clients, providing responsive and professional support by phone, email, and in person.
- Assist with new client onboarding and ongoing service needs, ensuring requests and documentation are handled accurately and efficiently.
- Coordinate meetings, appointments, schedules, and other client-facing activities.
- Maintain accurate and up-to-date client information, service records, and documentation within internal systems.
- Monitor client requests and follow up on outstanding items to ensure timely resolution and a positive experience.
- Prepare, organize, and review documentation for completeness and accuracy.
- Support day-to-day office operations, including correspondence, supplies, mail, organization, and coordination with outside vendors and service providers.
- Assist with internal reporting, data management, and recurring operational tasks.
- Help maintain organized electronic files and ensure records are documented consistently.
- Collaborate with team members on company initiatives, projects, events, and other business needs.
- Identify opportunities to improve workflows, strengthen processes, and increase efficiency across daily operations.
- Assist with developing and maintaining internal procedures and process documentation.
- Coordinate with internal and external resources to address technology, facility, or operational needs.
- Anticipate potential issues, communicate concerns proactively, and help develop practical solutions.
- Perform additional administrative and operational duties as needed.
Qualifications
- 3+ years of experience in client service, customer service, administrative support, operations, or a related field.
- Strong written and verbal communication skills with a polished and professional approach.
- Excellent organization and time-management skills with exceptional attention to detail.
- Ability to manage multiple priorities while maintaining accuracy, responsiveness, and follow-through.
- Comfortable working independently while also collaborating closely with a team.
- Strong problem-solving skills and the ability to anticipate needs and take initiative.
- Proficiency with Microsoft Office and the ability to quickly learn new software and technology.
- Experience working with CRM, database, or other business management systems preferred.
