Job summary

Ethos Veterinary Health in Concord, CA is seeking a Client Service Coordinator to support clients and their pets. You will handle scheduling, client communication, and patient management while maintaining a welcoming reception environment.

This role requires strong customer service and organizational skills, with a focus on confidentiality and accuracy. Weekly schedule is Sunday through Wednesday, 2:30pm–1:00am, with a $5.50 nightly differential for hours 6pm–6am.

Qualifications

• High school diploma and hospitality experience.
• 2+ years in hospitality customer service.
• Proficiency with MS Office (Word, Excel, Outlook).
• Typing 45+ WPM and reliable data entry.

Responsibilities

• Welcome and assist clients and pets, ensuring a positive experience.
• Schedule appointments, coordinate procedures, manage clinic calendars.
• Answer phone calls, respond to emails, and share service information.
• Maintain accurate client/patient records with confidentiality.
• Process paperwork, verify information, and manage payments.
• Educate clients about pet care and answer questions.
• Keep reception area clean and organized for clients and pets.
• Collaborate with veterinary staff to ensure smooth operations.
• Handle emergencies calmly and professionally.

$22.00 - $26.00 hourly.
$5.50/hr differential paid for any hours worked between 6pm - 6am
Sunday - Wednesday 2:30pm - 1:00am

Our SAGE Concord location opened a brand-new state-of-the-art facility in the summer of 2022! It is the largest Specialty and Emergency Hospital in the East Bay area. Our next-generation facility has allowed SAGE Concord to significantly expand its Emergency, Specialty, and Urgent Care services to the growing East Bay community.

Our Specialty offerings consist of Emergency, Critical Care, Cardiology, Integrative Medicine, Internal Medicine, Oncology, and Surgery. This new facility features multiple advanced Surgery suites, as well as sophisticated Trauma response and Critical Care capabilities. Our vision in SAGE Concord is to continue the expansion of SAGE’s existing services to meet the ongoing demand for additional services in our community.

About the Role:

As a Veterinary Client Service Coordinator, you’ll partner closely with our doctors to ensure clients and their pets feel supported and cared for. Your responsibilities will encompass client communication, scheduling, patient management, and contributing to a welcoming environment for both people and pets.

Daily Responsibilities Include:

• Welcoming and assisting clients and their pets, ensuring a positive experience.
• Scheduling appointments, coordinating procedures, and managing clinic calendars.
• Answering phones, responding to emails, and sharing information about our services.
• Maintaining accurate client and patient records with confidentiality.

• Competence with MS Office Suite (Word, Excel, Outlook).
• Typing speed of 45+ WPM and ability to use a 10-key calculator.
• Reliable data entry skills for medical record management.
