Job summary

Rakuten International in San Mateo, CA seeks a Client Relationship Specialist to support daily operations, from contracts and invoicing to data-driven reporting. The role emphasizes strong communication, administrative accuracy, and coordination with the US and Japan teams.

The ideal candidate has 1-2 years in operations administration, fluent English and Japanese, and proficient Excel/PowerPoint skills. Occasional travel to events and webinars is expected.

Qualifications

• 1-2 years of professional experience in an Operations Administrator role
• Fluent in both English and Japanese is essential
• Proficiency in Microsoft Office Suite, with strong expertise in Excel and PowerPoint
• Experience with event logistics and coordination
• Experience with customer service or onboarding processes, especially for online memberships or subscription services
• Excellent communication and presentation skills
• Basic level of data analysis principles
• Excellent organizational, time management, and prioritization skills
• Ability to work independently and as part of a team
• Strong attention to detail and confidentiality
• Experience with SaaS tools for marketing, survey, or data analysis is a big plus

Responsibilities

• Facilitate smooth communication with clients, including contract execution, deal negotiation, and handling inquiries/requests
• Manage the end-to-end contract process, from coordinating terms with clients to obtaining approvals and signatures
• Prepare invoices, quotations, and contracts
• Process payments using various payment platforms and resolve related issues
• Support monthly sales reconciliation
• Manage monthly financial figures related to P&L, and coordinate with the Finance team
• Collect necessary information from internal and external stakeholders to support financial and operational tasks
• Assist with onboarding of new clients/members
• Maintain and update internal documents and databases
• Assist with travel arrangements for the team
• Conduct data analysis using Excel (functions, formulas, pivot tables, charts, etc.)
• Provide reports and insights to support data-driven decision-making
• Manage logistics for in-person events and webinars in both the U.S. and Japan
• Create and promote event pages
• Act as a presenter or facilitator for events and webinars when required
• Handle inquiries and requests from tenants and clients
• Coordinate with Rakuten USA’s IT and Facilities teams when necessary
• Create presentations, documents, and other content as needed
• Handle ad-hoc tasks and projects assigned
• Work from the San Mateo office as primary location with remote flexibility
• Travel to the San Mateo office approximately once every two months if working remotely
