Job summary

PharmaForce is seeking a 340B Implementation Onboarding Coordinator to drive client onboarding across 340B contract pharmacy and split billing programs. You will work with the Implementation Project Manager to schedule sessions, gather client data, and maintain documentation through the onboarding lifecycle, ensuring accurate go-live readiness.

Responsibilities include coordinating kickoff calls, collecting registrations, managing checklists, and supporting testing and go-live handoff.

Qualifications

  • Must have at least 1 year in admin/coordination/customer support in healthcare or pharmacy ops.
  • Strong organizational skills with ability to manage multiple tasks and deadlines.
  • Clear written and verbal communication with clients and internal stakeholders.
  • Proficiency with standard office software and willingness to learn Smartsheet and Salesforce.
  • High attention to detail for data entry and documentation.

Responsibilities

  • Coordinate onboarding activities for new and existing entities and contract pharmacies.

  • Collect, organize, and track client documentation (entity registrations, contracts, wholesaler accounts).
  • Maintain onboarding checklists, trackers, and status logs in PM/CRM systems.
  • Assist with data entry and configuration tasks (contract pharmacy configurations).
  • Monitor outstanding items and follow up with teams and clients to resolve gaps.
  • Prepare status updates, meeting notes, and onboarding summaries.
  • Coordinate with PM, Data Analysts, Technical and Client Support to route questions.
  • Support testing/validation of claims connectivity and flag discrepancies.
  • Assist with go-live readiness materials and handoff to Account Management.
  • Keep client files organized throughout onboarding.

Position Overview

PharmaForce seeks a 340B Implementation Onboarding Coordinator to support the day-to-day execution of client onboarding activities across the 340B contract pharmacy and split billing programs. This role works closely with the Implementation Project Manager to schedule onboarding activities, gather and organize client data, track task completion, and maintain accurate documentation throughout the onboarding lifecycle. The coordinator serves as an operational backbone for implementation projects, helping ensure that covered entities and contract pharmacies move efficiently and accurately toward claims connectivity go-live.

Key Responsibilities
  • Support the Implementation Project Manager in coordinating onboarding activities for new and existing covered entities and contract pharmacies.
  • Schedule and help facilitate kickoff calls, data-collection sessions, and internal status meetings.
  • Collect, organize, and track required client documentation, including entity registration details, contract pharmacy agreements, and wholesaler account information.
  • Maintain and update onboarding checklists, task trackers, and project status logs within PharmaForce's project management and CRM systems.
  • Assist with initial data entry and configuration tasks, such as contract pharmacy configurations, under the guidance of the Implementation Project Manager.
  • Monitor outstanding action items and follow up with internal teams and clients to help resolve gaps or delays.
  • Prepare draft status updates, meeting notes, and onboarding summary documents for Project Manager review.
  • Coordinate with the Project Manager, Data Analysts, Technical, and Client Support teams to route questions or issues to the appropriate owner.
  • Support testing and validation of claims connectivity setup by tracking test results and flagging discrepancies for review.
  • Assist with the preparation of go-live readiness materials and the internal handoff to Account Management.
  • Help maintain organized, up-to-date client files throughout the onboarding process.
Requirements
  • A minimum of one year of experience in an administrative, coordination, or customer-support role, preferably within healthcare or pharmacy operations.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
  • Clear written and verbal communication skills, with comfort interacting with clients and internal stakeholders.
  • Proficiency with standard office software (e.g., Microsoft Office) and willingness to learn project management and CRM platforms (e.g., Smartsheet, Salesforce).
  • High attention to detail, particularly when handling data entry and documentation.

  • Prior experience supporting implementation, onboarding, or project coordination functions.
  • Exposure to healthcare compliance or regulatory documentation.
