Client Events Coordinator - New York

GENERAL SUMMARY :

Under limited supervision, this position supports the marketing team and partners to develop and implement client events including seminars, webinars, client dinners, receptions and conferences. This position will coordinate internal and external implementation details related to client events.

ESSENTIAL JOB FUNCTIONS :

  • Support planning, implementation and post-event activities for the Firm’s client, diversity and talent events programs.
  • Provide onsite events support, coordinating related logistics at events in Philadelphia, New York, Washington, D.C. as other cities as needed.
  • Coordinate virtual and in-person thought leadership events, including related logistics and execution of the event.
  • Work with Dechert IT and AV, as well as outside vendors, on technical specs and dry runs with all event speakers.
  • Coordinate with internal and external vendors to implement event plans and logistics.
  • Respond to events inquiries and provide related resources and recommendations.
  • Use the Firm’s CRM system to create event mailing lists and update contacts as needed, including managing RSVPs.
  • Use the Firm’s Content Management System to post events to the website.
  • Use the Firm’s document management system and “Events Hub” to save all event documentation.
  • Create email invitations; oversee design and printing of event materials.
  • Oversee set-up of audio-visual logistics, working with various IT departments and vendors.
  • Coordinate the distribution of tickets for sporting events, shows, etc.
  • Arrange for production of event materials, such as name badges, signage and promotional items.
  • Arrange for shipping of event materials, such as banners and booths, including banner/booth set-up and tear-down.
  • Communicate with internal clients about their events, providing Weekly Updates on the status of Action Items.
  • Coordinate purchase and distribution of client gifts.
  • Oversee the Firm’s online promotional items store and manage purchase and usage of all promotional items.
  • Compile, review and arrange processing of events-related payments.
  • Source venues and plan in entirety private dinners, receptions and other social lawyer-client gatherings.
  • Performs any and all other duties as necessary and as assigned by your supervisor for efficient functioning of the Department, Office and Firm.

QUALIFICATIONS:

  • 3-5 years of event planning experience.
  • Detail-oriented and organized.
  • Ability to travel and work overtime as needed.
  • Working knowledge of html; CRM and CMS tools; interest in emerging events technologies.
  • Comfortable with technology.
  • Working knowledge of event venues and/or good venue search skills.
  • Commitment to excellent internal and external client service.
  • Good oral and written communication skills.
  • Knowledge of the Firm’s policies and procedures.
  • Ability to effectively manage competing priorities.
  • Good interpersonal skills with polite, professional and positive manner.
  • Ability to maintain confidentiality.
  • Ability to learn new skills as they become necessary.
  • Ability to work independently and as a team player in a collaborative organization.

At the time of this posting, the salary range for this position in New York, NY is $68,000.00 to $90,000.00 annually. Actual compensation is commensurate with job related knowledge, skills, experience and location of the position.
