Responsibilities

• Greet clients and guide them through check‑in procedures
• Answer incoming phone calls, voicemails, and emails
• Provide compassionate client communication and education
• Schedule patient appointments
• Record requests and communications with referring veterinary offices and pharmacies
• Utilize practice management software to maintain client and patient records
• Perform administrative duties such as filing, data entry, faxing, and emailing
• Check‑out clients, ensuring discharge information and charges are correct
• Complete end‑of‑day processes

Qualifications and Skills

• Minimum of 2 years’ experience as a Veterinary Receptionist or 5 years as a Client Service Representative in another business setting
• Veterinary Receptionist experience is a plus
• EzyVet or SmartFlow experience is a plus
• Professional phone, in‑person, and email etiquette a must
• Ability to handle stressful or emergent situations calmly and supportively
• Excellent verbal and written communication skills
• Proven customer service skills
• Positive team player
• Experience with Microsoft programs and ability to learn company software systems quickly
• Experience with a multi‑line phone system
• High School Diploma, GED, or higher education
