Job description


The Department of Developmental Services (DDS) is searching for an enthusiastic, outgoing, reliable individual to fill a Clerk IV position located at the Wrentham Developmental Center. The position requires strong social and interpersonal skills to interact with employees and the public to assist and support the Nursing Department.


Duties and Responsibilities: (these duties are a general summary and not all inclusive.)
• Maintain employee schedules and adhere to payroll guidelines.
• Prepare personnel actions to be submitted to Human Resources.
• Maintain Unit filing system, distribute mail and answer phones.
• Responsible for various schedules, employee, and resident information.
• Utilize Microsoft applications to prepare various documents.
• Create and maintain a standard for professional document production.
• Attend meetings, compose, and distribute meeting minutes. Work with the Nursing Director and RN IVs to ensure all issues are addressed and resolved.
• Operate standard office machines and equipment; maintain equipment supplies and report equipment issues.
• Knowledge of generating/updating Ancillary Orders, generating monthly reports such as Diet Orders.
• Types/distributes/tracks/files evaluations & Form 30’s for annual EPRS’s for all nursing staff.
• Receives and distributes incoming mail, memoranda, packages, etc. to appropriate individuals within the assigned department.
• Proofread typed material for grammatical, punctuation and spelling errors and for proper format, accuracy and completeness.


Preferred Qualifications:
• Proficient with Microsoft Office Suite, specifically Excel/Access/Word
• Excellent communication and organizational skills
• Ability to multi-task and prioritize requests to adequately support the nursing department.

Special Requirements:
• Must be at least eighteen (18) years of age

· Must possess current and valid Class D Motor Vehicle Operator's License


Schedule Information:
• Full-time – 37.5-hour weekly position - 1st shift (Day Shift)
• Monday through Friday 8:00 a.m. to 4:00 p.m.
• Days off – Saturday and Sunday

ALL EMPLOYEES ARE PAID ON A BI-WEEKLY BASIS AND MUST HAVE DIRECT DEPOSIT.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*

* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range .
