POSITION PURPOSE
Performs as receptionist and provides clerical support in the Corporate Administration Office.
POSITION REQUIREMENTS / QUALIFICATIONS
Education/Experience
- High School Graduate
- Secretarial Training
- Two year’s experience with direct public.
Licensure / Certification
- Maintain current CPR certification from the American Heart Association.
Skills / Ability
- Dictation skills
- typing skills
- computer skills
- interpersonal skills
- Must be able to type 35 – 45 WPM.
- Fluent in English; Spanish, French/Creole desired.
POSITION RESPONSIBILITIES (THIS IS A NON-EXEMPT POSITION)
- Acts as receptionist, greets and directs visitors to proper area/individual.
- Receives and routes incoming phone calls to Administration and other departments.
- Receives, opens, and routes incoming mail on a daily basis.
- Distributes outgoing mail on a daily basis.
- Makes copies and distributes appropriately.
- Scans information and distributes appropriately.
- Faxes information as requested. Distributes incoming faxes to proper area/individual.
- Ensures documentation is prepped and organized for submission to medical records and entry into Electronic Health Record.
- Enter data into the SAMIS system as required by The Children’s Trust.
- Type various activity reports, work orders, requisitions, personnel forms and similar documents as requested.
- Compose routine correspondence or selects appropriate form letter reply.
- Types miscellaneous reports/letters/flyers/and other documents as requested.
- Assists with typing, gathering, duplicating and assembling materials to be covered at various meetings.
- Prepares agendas, attends meetings, distributes agenda, takes minutes, and transcribes the minutes of the meeting into proper format within five working days of the date the meeting was held.
- Enter data into the Service Partnership internal data system on excel.
- Assists with filing and records search.
- Reports to work on time and ready to work with minimal absenteeism.
- Adheres to Confidentiality Policies and Procedures / HIPAA Regulations.
- Participates in Performance Improvement Activities.
- Performs other duties as assigned.
