Job summary

Qualifications

Responsibilities

  • Provide clerical support for clients and laboratory employees.
  • Utilize various software systems to process client payments and inquiries.
  • Prepare and reconcile billing adjustments.
  • Reconcile and create reports as needed.
  • Process weekly billing statements.
  • Assist with various accounts receivable duties.

Job description

Position Summary

This is a temporary or on‑call position that provides clerical support. Responsibilities may include secretarial, receptionist, bookkeeping, information processing, or other related clerical tasks. On‑campus temps work for up to 6 months, then can switch to on‑call, whereas off‑campus temps have a continuous 9‑month appointment with a one‑week break in between. On‑call workers may work up to 40 hours/week for up to 3 months before being reduced to 19 hours/week and may not exceed 520 hours in any six‑month period.

Unit Position Summary

Specific job duties and responsibilities include, but are not limited to:

  • Assisting with overall accounting processes and providing clerical support for clients and laboratory employees.
  • Utilizing Microsoft Office, the laboratory's LIMS financial system, Sage MAS Business Management software, and EBS to receive and process client payments, phone inquiries, walk‑ins, account creation and maintenance.
  • Preparing and reconciling billing adjustments.
  • Reconciling and creating reports.
  • Assisting with processing weekly billing statements.
  • Assisting the Account Collections Coordinator and Business Office Supervisor with various accounts receivable duties and special projects as needed.
  • Participating in the creation and maintenance of standard operating procedures (SOPs).
  • Leading and participating in continued process improvement efforts of the Business Office and VDL.
  • Other duties as assigned to carry out the mission of VDL, the College of Veterinary Medicine, and Michigan State University.
