Job summary

Eastern Air Express is seeking a Charter Logistics Coordinator to verify readiness for each charter flight, coordinating dispatch, weather, crews, fuel and MEL items. You will manage security, medical coverage, and international clearance requirements while maintaining real-time status across teams.

Ideal candidates have 2+ years in aviation operations, strong organization and Excel skills, and the ability to work on-site at GSO in a fast-paced environment with irregular hours.

Qualifications

  • 2+ years in airline operations, dispatch, or charter coordination in a 121/135 setting.
  • Familiar with flight release, crew legality, MEL, and international clearances.
  • Proficient in Excel/Office and scheduling software; strong communicator.
  • Ability to manage multiple items under time pressure and coordinate across teams.

Responsibilities

  • Verify mission-readiness items for each charter flight on schedule.

  • Maintain real-time coordination checklist and escalate gaps early.

POSITION SUMMARY
What You'll Do

For each assigned charter flight, verify and coordinate all mission-readiness items on a defined timeline prior to departure, including:

  • Dispatch –Confirm the flight is dispatched and release paperwork is complete at the required interval prior to departure.
  • Weather –Review current and forecast conditions at origin, destination, and alternates; flag concerns to Dispatch and the Director of Operations.
  • Crews –Confirm primary crews are legal, rested, and confirmed for the trip; verify backup crews are identified and reachable.
  • Crew Show Times –Confirm show times for all crewmembers and verify actual crew show for the trip.
  • Guards –Coordinate security guard staffing and confirmation for flights requiring onboard security personnel.
  • Nurses –Coordinate medical personnel (nurses) for flights requiring onboard medical coverage; confirm credentials and show times.
  • Fuel –Confirm fuel orders, uplift arrangements, and fueler availability at each station.
  • MEL / Maintenance –Review open MEL/CDL items with Maintenance Control; confirm the aircraft is airworthy and any deferrals are compatible with the mission.
  • FME –Confirm a Flight Mechanic (FME) is assigned and confirmed for flights requiring one.
  • Aircraft Green Time –Track and confirm the time the aircraft goes green (released from maintenance and mission-ready).
  • CBP / APHIS / Catering –Coordinate CBP and APHIS requirements for international operations, including clearance arrangements and manifest requirements; confirm catering orders and delivery times.
  • Ground handling, GSE, hotels, transportation, permits, slots, and any other trip-specific requirements — if the flight needs it, you confirm it.

  • Cost negotiations
  • Invoice filing with the CC portal, including memos and class coding
Additional responsibilities
  • Maintain a real-time coordination checklist/status board for each flight and communicate readiness status to leadership.
  • Escalate gaps, conflicts, or at-risk items early — before they become delays.
  • Conduct post-flight debriefs on coordination breakdowns and feed lessons learned back into the process.
  • Support irregular operations (IROPs), recovery planning, and short-notice trip builds.
What We're Looking For
  • 2+ years of experience in airline operations, dispatch, crew scheduling, charter coordination, or a related aviation operations role (Part 121/135 environment strongly preferred).
  • Working knowledge of flight release/dispatch processes, crew legality basics, MEL procedures, and international clearance requirements (CBP/APHIS) preferred.
  • Exceptional organizational skills and follow-through; comfortable managing many simultaneous open items under time pressure.
  • Strong communicator who can coordinate across departments and hold vendors and stakeholders to commitments.
  • Proficiency with Microsoft Excel/Office and scheduling/operations software (SkedFlex or similar a plus).
  • Ability to work a flexible schedule, including nights, weekends, and holidays — charter operations run around the clock.
  • Must be able to work on-site at GSO and pass a pre-employment drug screen and background check; must be authorized to work in the U.S.
Physical Requirements & Work Environment
  • Frequent crawling, bending, kneeling, climbing, stooping, and working in confined spaces.
  • Work in elevated areas, including on stands, ladders, and aircraft surfaces.
  • Willingness and ability to work outdoors and on the ramp in varying weather conditions, including extreme heat and cold.

  • Exposure to elevated noise levels, aircraft fluids, chemicals, and jet blast; use of required personal protective equipment.

  • Frequent travel to airport and aircraft field locations with minimal notice.
