The Role

Under the direction of the Catering Manager and Premium Service Director, the Catering Coordinator is responsible for servicing all catering food and beverage orders accurately, organizing and maintaining suite holder information, and assisting with suites event day operations as needed.

Job Description:

The Catering & Special Events Coordinator supports the day-to-day operations of the special events and catering department. This role involves planning and executing assigned events and assisting the Sr. Manager of Special Events.

Goals:

The Coordinator will work closely with department managers to gain experience in event planning, creating BEOs, and venue catering. They will develop knowledge of special events planning, BEO creation, and on-site catering services.

Responsibilities:

  • Plan, detail, and execute catering requests for internal and special events.
  • Create event orders, floor plans, and logistics reports.
  • Prepare and execute BEO meetings.
  • Collaborate with culinary team to select menus and track costs.
  • Create event orders for ticketed events.
  • Assist in planning and executing catering orders for internal clients.
  • Provide documentation for post-event invoicing.
  • Support catering operations for all ticketed and special events.
  • Attend staff and amphitheater production meetings.
  • Maintain BEO documentation, generate change reports, and track weekly events.
  • Monitor venue calendar for catering requests.
  • Assist with event preparation and on-site management.
  • Develop conflict resolution skills related to event planning and execution.

Skills:

  • Experience in creating BEOs.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of catering event order systems like Infor/Reserve.
  • Familiarity with Social Tables, All Seated, Delphi Diagrams, or Visio is a plus.
  • Detail-oriented and organized.
  • Excellent customer service skills and multitasking ability.
  • Ability to work in a fast-paced environment.
  • Creative thinking and problem-solving skills.

Qualifications:

  • Minimum one year of experience as a hospitality coordinator.
  • Understanding of culinary, food, and beverage operations.
  • Experience in creating BEOs.
