Job summary

Black Butte Ranch in Sisters, Oregon, seeks a Catering & Events Specialist to plan, coordinate, and execute catering events, weddings, and special events. You will collaborate with clients to understand needs, showcase Ranch venues and services, and coordinate with vendors and internal teams to deliver exceptional experiences.

The role emphasizes managing documentation, deposits, and schedules while supporting revenue goals and guest satisfaction in a collaborative environment.

Qualifications

• Minimum of two years experience in hospitality, banquets, catering, event planning, or related role.
• Current Oregon Food Handler Card and OLCC service permit, or ability to obtain as required.
• Strong organizational, time management, and project management skills.
• Excellent written and verbal communication skills with a strong customer-service mindset.
• Strong attention to detail and ability to maintain accurate records and event documentation.
• Ability to manage multiple priorities, adapt to changing needs, and meet deadlines in a fast-paced environment.
• Strong problem-solving skills with the ability to work effectively both independently and collaboratively.
• Proficiency with Microsoft 365 and ability to quickly learn new technology and systems.
• Ability to work a flexible schedule based on event needs, including evenings, weekends, and holidays.

Responsibilities

• Meet with clients to understand event needs and recommend Black Butte Ranch venues, F&B offerings, services, amenities, and vendors.
• Identify opportunities to upsell Ranch offerings to enhance guest and event experiences.
• Create and manage BEOs, contracts, calendars, schedules, and other event docs.
• Serve as liaison between clients and internal departments, communicating event details and changes.
• Coordinate and attend wedding tastings, property tours, and site visits.
• Attend events and provide onsite support for successful execution.
• Coordinate day-of event setup and execution with the Catering team and other departments.
• Collect and record event deposits and payments accurately.
• Maintain client and event records and generate reports as requested.
• Assist leadership with lead generation campaigns and related sales activities.
• Attend and represent Black Butte Ranch at networking functions and events.
• Maintain confidentiality and security of client information and files.
• Perform other duties as assigned.
