The Marriott Chicago O'Hare is currently seeking an individual with previous experience in sales/catering to join our awesome team! Overall, hotel experience is preferred with Marriott Hotel systems understanding being advantageous.
Overview:
The Catering Coordinator will provide administrative & clerical support to the Director of Catering and Events team and those that work within, including but not limited to Sales, Catering, Accounting, and the General Manager.
Responsibilities:
- Compose/send letters, memos, thank you cards, daily/weekly/monthly catering reports, and other documents, as needed/requested
- Create and maintain group parking, meal vouchers, event signage, and menus as requested
- Prepare and distribute group resumes, BEO packet, Revised BEOs, and document changes in the change log to the BEO book. May also verify/edit documents as needed/requested.
- Assist with event and group billing by sending finalized billing statements to the client
- Communicate daily events and other customer communications to ensure proper guest service.
- Coordinate events, as needed/requested.
- Schedule meetings, as requested.
- Operate standard office equipment. Google docs, Microsoft Office; Word, Excel, Power Point, Adobe
- Develop and maintain positive working relationships and maintain confidentiality of proprietary information.
- Utilize available resources to provide excellent customer satisfaction.
- Requires knowledge and adherence to hotel policies and procedures, including those of the Sales, Catering, and Accounting departments.
- Must be able to work well and communicate with Food & Beverage/Banquet Managers, Supervisors, and Banquets team to ensure the customer is satisfied with their needs.
- Superb time management skills with the ability to prioritize a multitude of projects while staying organized.
- Must be effective at listening to, understanding, and clarifying concerns raised by guests/customers or anyone from the executive offices.
- Must be able to multitask and prioritize department needs and deadlines.
- Creating groups given to them by the sales/catering teams in the Marriott systems
- Establish and maintain accurate filing systems, opening/sorting mail.
- Support Group Sales Admin when requested by assisting with submission of group rooming lists and reservation requests
- Posting Bonvoy Loyalty points
- Prepare amenity requests
- Perform other duties as requested by the executive management team.
- When requested, provide support to the Group Sales Coordinator, answer phone calls, gather and uncover client needs, and relay messages to the appropriate Executive Management personnel.
Preferred Qualifications:- At least 1 year of hotel administrative experience or any combination of similar education and experience.
- Marriott Hotel Systems experience is a plus. MARSHA, FSPMS, Ci/Ty
