Job Summary

As a Catering Coordinator, you will handle sales/marketing, administration, and coordination for on- and off-premise catering events. This role requires excellent attention to detail, communication skills, and the ability to multitask effectively, ensuring accurate information flow internally and to clients and vendors.

Essential Duties and Responsibilities
  • Manage all event reservation data, including inquiries and confirmations, and detail function sheets with equipment needs.
  • Create captain's packets with staff and equipment details and ensure delivery to staff.
  • Design buffet signage and printed menus as needed.
  • Maintain organized event files, including correspondence, orders, invoices, and proposals.
  • Process insurance certificates requests.
  • Handle inquiries with all pertinent event details.
  • Prepare event proposals and staff requisitions.
  • Support sales initiatives through research and marketing collaboration.
  • Coordinate with marketing on promotional materials.
  • Assist with client walkthroughs and provide on-site event support as scheduled.
  • Manage deposits and financial entries, ensuring accurate forecasting and communication with accounting.
  • Prepare final invoices and expense reports monthly.
  • Schedule meetings and travel arrangements as needed.
  • Perform other duties as assigned.
Qualifications
  • Experience in dining, catering, or event management.
  • Experience in restaurants, hotels, corporate dining, education, military, healthcare, or related food services.
  • Flexibility to work according to business needs.
  • Excellent communication, customer service, and organizational skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Bachelor's degree in Hospitality or Marketing preferred.
