Job summary

NK Consultancy is recruiting an Operations Coordinator for our client, a national, growing case management company, located in Kalamazoo, Michigan on-site.

This role supports intake, documentation, and communication workflows to keep the team running smoothly, with independence and discretion.

You will handle invoicing, accounts receivable, medical records requests, and multi-function administrative support while delivering accurate data and timely communications.

Qualifications

• 2–4 years of administrative operations experience, ideally in healthcare.
• Strong organizational and analytical skills with close attention to detail.
• Ability to work independently and juggle multiple priorities in a fast-paced setting.
• Excellent written communication and interpersonal skills.
• Proficiency in Microsoft Office Suite.
• Familiarity with case management systems is a plus.

Responsibilities

• Manage intake, documentation, and communication workflows for the case management team.
• Monitor and process incoming correspondence with timely routing and proper documentation.
• Answer phones and relay information clearly and professionally.
• Maintain accurate, consistent data across all systems.
• Compile and maintain assigned claimant lists.
• Support the case management team with administrative tasks as needed.
• Identify and elevate high-priority communications to the right people.
• Assist with invoicing, including report review, invoice creation, and billing to insurance companies.
• Support accounts receivable follow-up on outstanding balances.
• Handle medical records requests.
• Provide administrative support across multiple functions as needed.
