Job summary

Cooler Logistics LLC in Chicago, IL is seeking an Accounts Payable Representative to manage AP for carrier partners and support the Carrier Sales team. You will run reports, maintain AP aging, and resolve billing discrepancies using our 3rd party payment processor and TMS.

The ideal candidate has 3+ years in AP within logistics, strong Excel skills, and excellent communication. This role requires in-office work from 7:30 AM to 4:30 PM, Monday through Friday, and reports to the CFO.

Qualifications

• 3+ years of experience in an Accounts Payable role in the logistics field.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite, particularly Excel.
• Knowledge of transportation management systems (TMS). Revenova experience preferred.
• Highly organized with excellent time management skills and a high degree of accuracy and attention to detail.
• The ability to work in office 0730-0430pm Monday - Friday.

Responsibilities

• Serve as the primary AP contact for carriers and your assigned Carrier Team.
• Manage load paperwork collection and auditing efforts by monitoring delivery dates, following up with carriers to obtain needed documents, and resolving payment discrepancies using our 3rd party technology.
• Reconcile carrier invoices and investigate discrepancies, including freight bill adjustments and pricing disputes.
• Manage 3rd party payment processor to ensure we make accurate payments and reconcile those transactions in our TMS
• Generate and analyze accounts payable reports to identify trends and potential issues.
• Respond to factors and carrier partners on all inquiries related to rate verifications and payment status
• Collaborate with sales, customer service, and operations teams to resolve billing inquiries and disputes.
• Maintain accurate and organized files and documentation for audit purposes.
• Support special projects and process improvement initiatives as needed.
