Job summary

SOL Mental Health is seeking a full-time in-person Care Team Assistant based in Brooklyn. You’ll greet patients, manage scheduling across calls and emails, support intake and billing tasks, and help coordinate clinical services in a fast-paced practice.

The role emphasizes HIPAA compliance, strong organization, excellent communication, and compassionate patient care. Prior Medical Assistant exposure and proficiency with clinic tech are preferred, with a supportive, growth-focused team culture.

Qualifications

  • Clinical exposure or Medical Assistant experience including reading medical records and coordinating with pharmacies.
  • MA Certification is a plus.
  • Able to effectively manage difficult situations and de-escalate issues.
  • Professional interaction with a diverse patient population.
  • Highly organized with strong task management.
  • Strong knowledge of Microsoft Office and clinic systems.
  • Ability to interpret and apply guidelines with integrity.

Responsibilities

  • Provide a warm, professional experience for patients across calls, emails, and scheduling.
  • Complete patient intake and check-in, verify forms and copays, document balances.
  • Manage schedules for patients and clinicians, with accurate EHR updates.
  • Support clinical teams by triaging concerns and coordinating services.
  • Communicate clearly with patients, families, referral partners, and vendors.
  • Ensure accurate charge capture and timely data submission.
  • Maintain HIPAA, CMS, OSHA compliance and high service standards.
  • Represent SOL Mental Health professionally and contribute to team culture.
  • Meet productivity goals and perform additional duties as assigned.

Care Team Members at SOL...
  • Provide a warm, professional experience for all patients by greeting visitors, answering phones, and managing daily scheduling needs across calls, emails, and logistics.
  • Complete patient intake and check‑in processes, ensuring all forms, insurance verifications, copays, and balances are collected and documented accurately.
  • Manage schedules for patients and clinicians, including adjustments, follow‑ups, discharge workflows, reactivation, and end‑of‑day processes, while maintaining accurate information in the EHR.
  • Support clinical teams by triaging patient concerns, escalating issues appropriately, and coordinating necessary services.
  • Communicate clearly and promptly with patients, families, referral partners, and vendors to support the full patient journey and enhance engagement.
  • Ensure accurate charge capture, billing‑related documentation, and timely submission of required data.
  • Maintain compliance with all policies and regulatory standards (HIPAA, CMS, OSHA, etc.) and uphold a high standard of customer service.
  • Represent Sol Mental Health with professionalism and contribute positively to team culture by demonstrating empathy, collaboration, and reliability.
  • Meet productivity goals and perform additional duties as assigned.
Job Requirements & Skills
  • Clinical exposure or Medical Assistant experience including reading medical records, supporting medication workflows, coordinating with pharmacies, andassistingwith prior authorizations.
  • MA Certification is a plus
  • Able to effectively manage difficult situations and de‑escalate issues that arise.
  • Ability to interact and work professionally and effectively with a diverse population.
  • Highly organized and able to juggle many tasks at once.
  • Strong working knowledge of Microsoft office products and ability to learn clinic operations technology systems.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Strong work ethic, passionate and enthusiastic personality with a high degree of integrity, humility, and a positive attitude
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able effectively communicate over the phone, computer, and face to face.
  • Must be able to lift up to 15 pounds at times.
  • This is a Full Time, in-person role based out of our Brooklyn locations.

Compensation |

The estimated hourly compensation for this role is $25.00–$26.00 per hour , depending on experience. This role is also eligible for a monthly bonus based uponmetrics set for the role.
