Job summary

SOL Mental Health is seeking a full-time, in-person Care Team Administrator at our Washington, DC location. You will greet patients, manage scheduling, perform intake, and support clinicians while ensuring accurate billing and HIPAA-compliant processes.

In this role, you’ll coordinate with clinical teams, triage patient concerns, and maintain clear communication with patients, families, referral partners, and vendors to optimize the patient journey.

Qualifications

• Ability to manage difficult situations and de-escalate effectively.
• Strong organizational skills and ability to multitask in a fast-paced environment.
• Experience with EMR/EHR systems, specifically Athena, preferred.

Responsibilities

• Greet patients and manage daily scheduling across calls, emails, and logistics.
• Complete patient intake and check-in, verify insurance, collect copays and balances.
• Manage schedules for patients and clinicians, including follow-ups and end-of-day workflows in the EHR.
• Support clinical teams by triaging concerns and coordinating services as needed.
• Communicate clearly with patients, families, referral partners, and vendors to support the patient journey.

Care Team Members at SOL...

• Provide a warm, professional experience for all patients by greeting visitors, answering phones, and managing daily scheduling needs across calls, emails, and logistics.
• Complete patient intake and check‑in processes, ensuring all forms, insurance verifications, copays, and balances are collected and documented accurately.
• Manage schedules for patients and clinicians, including adjustments, follow‑ups, discharge workflows, reactivation, and end‑of‑day processes, while maintaining accurate information in the EHR.
• Support clinical teams by triaging patient concerns, escalating issues appropriately, and coordinating necessary services.
• Communicate clearly and promptly with patients, families, referral partners, and vendors to support the full patient journey and enhance engagement.
• Ensure accurate charge capture, billing‑related documentation, and timely submission of required data.
• Maintain compliance with all policies and regulatory standards (HIPAA, CMS, OSHA, etc.) and uphold a high standard of customer service.
• Represent Sol Mental Health with professionalism and contribute positively to team culture by demonstrating empathy, collaboration, and reliability.
• Meet productivity goals and perform additional duties as assigned.

Job Requirements & Skills

• Able to effectively manage difficult situations and de-escalate issues that arise.
• Ability to interact and work professionally and effectively with a diverse population.
• Highly organized and able to juggle many tasks at once.
• Strong working knowledge of Microsoft office products and ability to learn clinic operations technology systems.
• Experience with EMR/EHR systems, specifically Athena, preferred.
• Ability to interpret, adapt and apply guidelines and procedures.
• Strong work ethic, passionate and enthusiastic personality with a high degree of integrity, humility, and a positive attitude

Physical Requirements

• Prolonged periods of sitting at a desk and working on a computer.
• Must be able effectively communicate over the phone, computer, and face to face.{NEXT}
• Must be able to lift up to 15 pounds at times.
• This is a Full Time, in-person role based out of our DC location.

Compensation | The estimated hourly compensation for this role is $24.00–$25.00 per hour , depending on experience. This role is also eligible for a monthly bonus based uponmetrics set for the role.
