Job summary

Children’s Specialized ABA is seeking a Care Coordinator to support families and staff by coordinating schedules and case starts at our Princeton Center. You will bridge client and staff scheduling, delivering outstanding service to families and staff, with direct reporting to the Assistant Regional Clinical Director.

Join Us as a Care Coordinator

The Care Coordinator role assists families and staff with coordinating around their schedule and case starts. This role bridges the gap between client and employee scheduling/staffing and requires a strong commitment to delivering outstanding customer service to both families and staff. This role reports directly to the Assistant Regional Clinical Director.

What You’ll Do
  • Reach out to families once their assessment is completed to confirm availability and discuss next steps in the process, including weekly check-ins, even with no new updates, to ensure that the family and staff know they are valued.
  • Reach out to RBTs/BTs once they are hired to discuss caseloads and expectations.
  • Accurate data entry and communication recorded in EHR and other software.
  • Schedule start dates for families, coordinate closely with clinical team, families and employees.
  • Coordinate restaff dates with families as needed.
  • Manage client and staff schedules in Central Reach.
  • Conduct monthly check-in with families and RBTs. Document conversations and do any follow ups needed.
  • Issue corrective action as needed to RBTs for attendance, unconverted sessions notes, accurate data collection, etc. and document in Paylocity.
  • Exercise discretion to schedule clients appropriately, maximizing their authorization.
  • Audit all parts of EHR for accuracy and completeness.
  • Evaluate staffing needs and communicate with team.
  • Attend team meetings and communicate current needs.
  • Identify scheduling and staffing adjustments necessary, and address accordingly based on client satisfaction feedback received.
  • Engage in community outreach efforts, including building relationships with local daycares and other identified partners, to support continued growth.
  • Other duties as assigned.
What You’ll Need
  • High School diploma or GED; higher education preferred (associate or bachelor’s degree).
  • Detail-oriented and organized.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office Suite or related software.
  • 2 years experience with intake/care coordination OR 2 years in an ABA OR Customer Service role
Work Location & Hours

This is a full time role that will be on-site in our Princeton Center, supporting families in the surrounding area. The core hours for this role are Monday-Friday 8:30am-5:00pm

Compensation

The expected salary range for this role is $55,000.00 –$63,000.00 per year, and the position [is/is not] bonus eligible.

Final compensation will be based on a range of factors, such as your skills, education, experience, certifications, market conditions, and internal equity. All offers are made in alignment with applicable federal and state laws.
