Qualifications

• High school diploma, GED or equivalent experience required.
• Minimum of 1 year experience processing referrals (MA or clinical/front desk preferred).
• HIPAA regulations knowledge and strict confidentiality.
• Exceptional oral and written communication, time management and organizational skills.
• Professional communication with employees, patients and others.
• Strong problem-solving mindset to support patients and team goals.
• Knowledge of medical terminology, services, policies and procedures.
• Ability to remain calm in busy or stressful situations.
• Proficient in Microsoft Office; typing at least 40 WPM.
• Experience with EMR systems preferred.

Responsibilities

• Schedule and coordinate referral appointments with outside specialists.
• Maintain carrier requirements for referral requests and approvals.
• Provide excellent service face-to-face or by phone.
• Schedule initial and follow-up appointments for specialists and imaging.
• Track referrals and document to promote team awareness and patient safety.
• Assemble patient clinical background and referral needs.
• Share clinical information per referral guidelines.
• Contact review organizations and insurers for prior approvals.
• Provide medical information to financial services to maximize reimbursement.
• Review referral details and expectations with patients.
• Assist patients with issues related to healthcare access, interpreters, transport, or medications.
• Act as system navigator and point of contact for patients and families.
• Identify and utilize cultural and community resources.
• Ensure referrals are addressed in a timely manner.
• Remind patients of scheduled appointments via mail or phone.
• Perform miscellaneous tasks as required by Referral Management Supervisor.
