Job summary

Concordia College is seeking a Capital Projects Coordinator in Moorhead to manage capital construction projects from planning through closeout. Qualifications

  • Bachelor’s degree in construction management, engineering, architecture, facilities management, or related field
  • 3 years of experience managing or coordinating construction or capital projects
  • Demonstrated experience coordinating architects, contractors, and vendors across multiple projects
  • Working knowledge of construction processes, project scheduling, and budgeting
  • Ability to read and interpret construction drawings, specifications, and contracts
  • Experience tracking and managing project costs, change orders, and pay applications
  • Strong project management skills with ability to prioritize, organize, and drive multiple projects simultaneously
  • Effective communicator with ability to work across technical teams and non-technical stakeholders
  • Proficient in standard tools (Excel, project tracking software, document management systems)
  • Ability to identify issues early and drive resolution without constant supervision

Responsibilities

  • Owner’s Representative / Project Execution Leadership – lead day-to-day owner’s representation across multiple capital projects
  • Translate leadership vision into executable plans with architects, engineers, and contractors
  • Lead weekly construction meetings, track decisions, and drive follow-up actions to closure
  • Coordinate contractors, vendors, and consultants to maintain schedule, scope, and budget
  • Act as coordination point between facilities, campus stakeholders, and project teams
  • Manage project communication flow and inform key people on issues, risks, changes
  • Monitor progress and address schedule risks, conflicts, and resource gaps
  • Drive accountability for quality, safety, and adherence to contract documents
  • Review and manage change orders, identifying cost/scope impacts and actions
  • Track pay applications and project costs against budgets
  • Maintain organized project documentation
  • Coordinate campus impacts to minimize disruption to operations
  • Lead project closeout activities including punch list and turnover
  • Project Planning / Pre-Construction Support – assist AVP in scope definition, budgeting, and schedules
  • Provide input on constructability, sequencing, and campus integration risks
  • Coordinate stakeholder engagement to refine requirements
  • Support bid-package preparation and contractor selection processes
  • Ensure alignment with campus standards and master planning
  • Campus Coordination & Stakeholder Engagement – coordinate with departments affected by construction
  • Translate project details into practical impacts for non-technical stakeholders
  • Facilitate stakeholder meetings focused on operational readiness
  • Ensure projects meet end-user needs within scope and budget

General shift hours: 7:30 - 4:30

Job Summary:

The Capital Project Coordinator serves as the college’s primary day-to-day representative for capital construction projects, ensuring successful execution from planning through closeout. This role translates strategic direction into action by coordinating architects, contractors, and campus stakeholders, while managing schedules, budgets, and project communication. Working closely with the Associate VP, this position enables leadership to focus on long-term strategy by taking ownership of project delivery, resolving issues in real time, and driving projects forward with accountability, clarity, and minimal disruption to campus operations.

About the Role

What You'll Do
  1. Owner’s Representative / Project Execution Leadership – (80%)
    1. Serve as the college’s day-to-day owner’s representative across multiple capital projects
    2. Translate leadership vision and project intent into clear, executable plans with architects, engineers, and contractors
    3. Lead weekly construction meetings, track decisions, and drive follow-up actions to closure
    4. Coordinate and align contractors, vendors, and consultants to maintain schedule, scope, and budget
    5. Act as the primary coordination point between facilities, campus stakeholders, and project teams
    6. Manage project communication flow—ensure the right people are informed at the right time(issues, risks, changes)
    7. Monitor field progress and proactively address schedule risks, conflicts, and resource gaps
    8. Drive accountability for quality, safety, and adherence to contract documents
    9. Review and manage change orders, identifying cost/scope impacts and recommending action
    10. Track and verify pay applications and project costs against approved budgets
    11. Maintain organized project documentation (logs, decisions, RFIs, submittals, meeting notes)
    12. Coordinate campus impacts (access, shutdowns, interruptions) to minimize disruption to operations
    13. Lead project closeout activities including punch list completion, turnover documentation, and warranty tracking
  2. Project Planning / Pre-Construction Support – (15%)
    1. Support AVP in project formation, scope definition, and early planning efforts
    2. Provide input on constructability, sequencing, and campus integration risks
    3. Assist in developing project budgets and high-level schedules
    4. Coordinate early engagement with stakeholders and user groups to refine project requirements
    5. Support the preparation of bid packages and contractor selection processes
    6. Ensure alignment with campus standards and long-term master planning priorities
  3. Campus Coordination & Stakeholder Engagement – (5%)
    1. Lead coordination with campus departments affected by construction activities
    2. Translate project details into clear, practical impacts for non-technical stakeholders
    3. Facilitate project-specific stakeholder meetings focused on operational details and readiness
    4. Ensure projects reflect functional needs of end users while staying aligned to scope and budget

Qualifications:

Preferred Qualifications:

  1. Experience serving as an owner’s representative or in a similar client-side project role
  2. Experience in higher education, institutional, or campus-based environments
  3. Experience managing multiple concurrent projects at different stages (planning→ construction → closeout)
  4. Knowledge of building systems, code compliance, and life‑cycle considerations
  5. Strong ability to translate design intent into practical, operational outcomes
